Job summary

Spyglass Corporate Services Group is seeking an Accounts Payable Specialist for its Lake Forest office. The role involves day-to-day AP processing, invoice verification, coding, and entry into the accounting system.

You will manage payments, reconcile statements, and maintain vendor master data while supporting the finance team. The ideal candidate has 2+ years AP experience, strong MS Office skills, excellent communication, and a detail-focused mindset.

Qualifications

• 2+ years accounts payable experience.
• Strong knowledge of Microsoft Office Suite (Word, Excel, Outlook).
• Excellent written and verbal communication skills and good organizational skills.
• Oracle experience a plus.
• Accurate, detail oriented, with a sense of urgency to get the job done.
• Enjoys working in a team environment.

Responsibilities

• Process day-to-day accounts payable transactions.
• Receive, verify, code and batch invoices and requisitions; prepare for entry.
• Review payable accounts for proper authorization and accuracy.
• Process weekly check runs and manual checks as needed.
• Maintain backup files for research and reference.
• Reconcile vendor statements and ensure accuracy of payments.
• Communicate with vendors regarding payment status and inquiries.
• Clean up and maintain vendor master data; collect W-9s and remit to addresses.
• Support Accounts Receivable with cash application when needed.
• Perform other duties to support the finance team.

We are currently looking for an Accounts Payable Specialist for our office located in Lake Forest.

What you'll do each day

• Perform day-to-day processing of Accounts Payable transactions
• Receive and verify invoices and requisitions for goods and services; match, batch and code invoices and prepare for entry into the accounting system; match, batch, and code expense reports into the system
• Review payable accounts to ensure information is properly recorded and the records contain appropriate authorization for payment
• Process payments during weekly check run; prepare manual checks on an as needed basis
• Maintain proper backup files for research and reference
• Review invoices and statements for accuracy and to ensure all the information appearing on them is accurate and complete; verify questionable transactions or amounts with various departments
• Reconcile vendor statements and verify amount owed; reconcile freight invoices to statements to ensure accuracy
• Check figures, postings, and documents to ensure accuracy, mathematically correct, and properly coded
• Correct and note errors for A/P Manager to handle
• Talk to current vendors inquiring about payment; request invoices if not received and process
• Work with internal and external customers on questions, referencing payment terms of invoice or invoice clarification
• Clean up vendor master database; collect W-9's and proper remit to addresses
• Assist Accounts Receivable with processing cash application daily
• Other assigned duties and responsibilities deemed necessary in support of the organization
