Job description

Make a difference. Samson Electrical Supply’s Accounts Payable Representative is responsible for supporting the complete invoice-to-payment process, including invoice processing, verification, payment, reconciliations, and vendor account maintenance. This role works closely with suppliers and internal departments to resolve discrepancies, maintain accurate financial records, and support month-end accounting activities.

Responsibilities

• Accounts Payable & Invoice Processing Process stock, direct shipment, and expense invoices, ensuring accurate pricing, documentation, and approvals. Match invoices to packing lists and work orders as applicable. Process payments, debit memos, freight charges, and other necessary adjustments. Research and resolve invoice, payment, and account discrepancies.
• Cash Disbursements & Month-End Support Prepare and review weekly anticipated cash disbursement/check run reports. Complete month-end accounts payable reporting, including expense journals and Payables Open Detail reports. Record payroll and manual checks in external disbursement records. Reconcile American Express statements and research discrepancies as needed.
• Supplier Rebates & Account Maintenance Process and track monthly supplier rebates and maintain supporting documentation. Coordinate rebate deductions and resolve related discrepancies. Set up new suppliers and maintain accurate supplier account information.
• Recordkeeping & Administrative Support Maintain organized and accurate checks, invoices, payment records, and supporting documentation. Retrieve and research financial records as needed for reconciliation and issue resolution. Provide backup support for the Supplier Administrator and Office Assistant as needed. Perform other related accounting and administrative duties as assigned.

Requirements

• High school diploma or equivalent required; college degree not required.
• Previous accounts payable, accounting, bookkeeping, or related experience.
• Experience with accounting or ERP software beyond QuickBooks; P21 or other Unix-based systems preferred.
• Proficiency in Microsoft Excel.
• Strong critical-thinking, problem-solving, and attention-to-detail skills.
• Ability to organize and prioritize work while meeting deadlines.
• Strong communication skills and ability to work effectively within a team.
• Electrical wholesale or distribution experience preferred.
• Experience with invoice processing, reconciliations, supplier accounts, and related accounting functions preferred.

Shift and Hours:

Monday - Friday, 8:00am - 5:00pm.

Compensation Details:

The expected starting rate of pay for this position is $22.00 per hour depending on experience.
