Freeberg Industrial Fabrication LLC is seeking an organized and detail-oriented Accounts Payable Specialist to manage invoice processing, vendor payments, reconciliations, and month-end AP support. This role collaborates with Purchasing, Receiving, Production, Engineering, and Accounting to ensure timely processing while maintaining strong internal controls.

The position requires 3+ years AP experience, proficiency in Excel/Outlook, and attention to detail.

Qualifications

Responsibilities

• Process vendor invoices accurately and timely.
• Perform three-way matching of POs, Receivers, and Invoices.
• Enter invoices into the JobBoss2 ERP system.
• Investigate and resolve invoice discrepancies with Purchasing and Receiving.
• Prepare weekly ACH and check payment runs.
• Reconcile company credit card activity and supporting receipts.
• Assist with month-end close activities and documentation.

Accounts Payable Specialist

Location: On-Site Schedule: Full-Time, Monday through Friday
Wage -$23-$28 depending on experience Reports To: Controller

Position Summary

Freeberg Industrial Fabrication LLC is seeking an organized and detail-oriented Accounts Payable Specialist to manage invoice processing, vendor payments, account reconciliations, document management, and month-end AP support. This role works closely with Purchasing, Receiving, Production, Engineering, and Accounting to ensure accurate and timely processing of vendor transactions while maintaining strong internal controls.

Essential Duties & Responsibilities

Accounts Payable Processing

• Process vendor invoices accurately and timely.
• Perform three-way matching of Purchase Orders, Receivers, and Invoices.
• Enter invoices into the JobBoss2 ERP system.
• Investigate and resolve invoice discrepancies with Purchasing and Receiving.
• Maintain AP records and supporting documentation.

Vendor Payments & Banking

• Prepare weekly ACH and check payment runs.
• Generate remittance advice and vendor payment communications.
• Monitor payment activity and maintain payment records.
• Verify vendor banking changes using approved fraud-prevention procedures.

Reconciliations & Compliance

• Reconcile company credit card activity and supporting receipts.
• Assist with tax tracking and recurring monthly invoices.
• Support month-end close activities, audits, and financial reporting.
• Maintain electronic filing systems and document retention requirements.

Qualifications

Required

• 3+ years of Accounts Payable experience, Bookkeeping experience preferred
• Strong knowledge of invoice processing and vendor payments.
• Experience with Microsoft Excel and Outlook.
• Strong attention to detail and organizational skills.

Preferred

• Manufacturing or industrial accounting experience.
• JobBoss2 ERP experience.
• ACH payment processing experience.
• Credit card reconciliation experience.

Work Environment

This position operates in both office and manufacturing environments, with regular interaction across Production, Quality, Project Management, Purchasing, Maintenance, Engineering, Receiving, and Accounting.

Physical requirements include:

• Sitting at a computer for extended periods.
• Walking throughout office and production areas.
• Standing for extended periods as needed.
• Occasional lifting of up to 25 pounds.

Occasional extended hours may be required to support month-end close, production schedules, audits, and special projects.
