Job summary

Fred Haas Toyota Country in Houston is seeking a detail-oriented Accounts Payable Clerk to manage the full AP cycle, keep vendor accounts accurate, and support the accounting team.

You will process invoices, code to GL accounts, prepare payments, reconcile statements, and assist with month-end close in a fast-paced dealership environment.

Qualifications

• 1–2 years of accounts payable or general accounting experience.
• Dealership experience strongly preferred.
• Experience with Reynolds & Reynolds, CDK or another dealership DMS.
• Working knowledge of Microsoft Excel.

Responsibilities

• Match, code and post vendor invoices to GL accounts and departments.
• Enter invoices and maintain vendor records in the DMS.
• Prepare weekly check runs and ACH/EFT payments with proper approvals.
• Reconcile vendor statements and resolve discrepancies.
• Process sublet, parts and service invoices and link to repair orders.
• Collect W-9s and assist with year-end 1099s.
• Answer vendor and department queries about payment status.
• Assist with month-end close, including AP schedules and accruals.

Job description

Fred Haas Toyota Country is a busy, high-volume Toyota dealership in Houston. We're hiring a detail-oriented Accounts Payable Clerk for our accounting office. You'll handle the full AP cycle, keep vendor accounts accurate and up to date.

Accounts Payable Clerk

Job Responsibilities

• Match, code and post vendor invoices to the correct GL accounts and departments (Sales, Service, Parts, Body Shop, Admin)
• Enter invoices and keep vendor records current in the DMS (Reynolds & Reynolds ERA-IGNITE)
• Prepare weekly check runs and ACH/EFT payments, and get the right approvals first
• Reconcile vendor statements, then research and fix discrepancies, credits and duplicate charges
• Process sublet, parts and service vendor invoices and tie them to repair orders
• Collect and keep W-9s, and help prepare 1099s at year-end
• Answer vendor questions and department managers' questions about payment status
• Help with month-end close, including AP schedules, accruals and reconciliations
• File and keep AP records in line with dealership retention policies
• Process Vehicle Payoffs, Dealer Trades and other tasks assigned
• Take on other accounting office duties as assigned

What We're Looking For

• 1–2 years of accounts payable or general accounting experience (dealership experience strongly preferred)
• Experience with Reynolds & Reynolds, CDK or another dealership DMS
• Working knowledge of Microsoft Excel (filters, basic formulas)
• Strong attention to detail and accuracy with numbers
• Good organization and time management; able to meet weekly and month-end deadlines
• Professional communication with vendors and coworkers

Physical Demands

• Sit for extended periods while working at a computer
• Use a computer, keyboard, calculator, and standard office equipment for most of the workday
• Read and review documents and data on screens and paper for long periods
• Occasionally stand, walk, bend, and reach
• Occasionally lift and carry up to 10 pounds (deal jackets, file boxes, and supplies)
• Work mainly in an office setting, with occasional outdoor exposure to heat and weather during lot inventory checks
• Work in a fast-paced environment with daily and month-end deadlines
