What We Are Looking For
Our client is looking for experienced program architect to build a centralized Reasonable Workplace Accommodations function from the ground up. This temporary Accommodations Program Manager will lead the first 6–9 months of program build work while also supporting an active caseload. You’ll design the operating model, workflows, governance, documentation, training, and ServiceNow-enabled case management framework, and you’ll onboard/mentor the permanent Senior Accommodations Specialist who will take over after the engagement ends. Success is defined by the sustainability of what you leave behind: a functioning program, a capable team, and a clear roadmap.
Responsibilities
- Design and document the end-to-end accommodations process (intake through determination and monitoring) covering ADA/ADAAA, PWFA, Title VII, and applicable state laws.
- Establish case management infrastructure (data fields, workflow logic, documentation standards, retention requirements).
- Develop a tiered case model across diverse workforce environments (corporate, field, construction/complex settings).
- Define governance (escalation paths, decision authority, legal triggers, oversight mechanisms).
- Review/refine/draft accommodations policies, SOPs, and manager/associate-facing process guides.
- Build interactive templates, determination letter frameworks, and repeatable documentation tools.
- Create a resource library aligned to business lines to support consistency and defensibility.
- Align stakeholders across HR leadership, Legal, Associate Relations, Leave, Benefits, and Workers’ Compensation; define handoffs.
- Design and deliver training for HRBPs and people managers on legal obligations, the interactive process, and new tools/resources.
- Serve as senior SME for complex cases during build period; model best-practice case handling alongside the incoming specialist.
- Assess/recommend ServiceNow case management design; lead/support implementation with HR Technology.
- Define reporting framework (metrics, data sources, cadence, audience views); build initial dashboards/templates.
- Onboard and mentor the permanent Senior Accommodations Specialist with structured knowledge transfer.
- Develop a 12–24 month program roadmap and conduct formal handoff/transition planning.
Required Qualifications
- 5+ years of direct experience managing workplace accommodations programs under ADA/ADAAA, PWFA, and/or Title VII.
- Demonstrated experience designing or significantly overhauling an accommodations program (not just operating within one).
- Deep knowledge of the ADA interactive process, medical documentation standards, undue hardship analysis, and essential functions assessment.
- Experience supporting accommodations across diverse workforce populations, including field, construction, or similarly complex environments.
- Proven ability to develop policies, SOPs, and training that hold up under legal scrutiny.
- Strong project management skills; ability to drive multiple workstreams in an ambiguous build-from-scratch environment.
- Executive-level communication and stakeholder management skills.
- Proven utilization of AI technology to simplify and streamline workflows.
Preferred Qualifications
- Experience using a ServiceNow case management system (or strong technical aptitude to learn/navigate new systems).
- Prior contract/consulting/interim program build experience; comfortable with defined timelines and clean handoffs.
- Background in vocational rehabilitation, occupational health, or disability management.
- Familiarity with intersecting leave frameworks (FMLA/state leave) and workers’ compensation processes.
- Experience in industries with significant non-desk workforce populations.
- Professional certification (ADAC, CPDM, CLMS, PHR/SPHR, or equivalent).
