VICE PROVOST FOR FACULTY AFFAI (BL-VPFA-IUBLA)

The Office of the Vice Provost for Faculty and Academic Affairs (OVPFAA) supports faculty across the full span of their academic careers from recruitment through retirement. It's mission is to enrich the campus community by advancing the centrality of the academic mission, advocating for faculty, and enhancing excellence in teaching and learning. OVPFAA works collaboratively with campus partners to ensure strong faculty support systems and a thriving academic environment.

Within OVPFAA, Academic Personnel Policies and Services (APPS) serves as the primary point of contact for Indiana University (IU) Bloomington schools and departments on academic human resources matters. APPS oversees academic transaction processing and maintains academic personnel records, while also serving as a trusted resource for policy and records guidance. The office manages academic personnel actions for academic appointees, facilitates promotion and tenure processes, administers leaves, conducts records audits, and supports recruitment activities across the Bloomington campus.

Under the direction of the Assistant Director of Academic Personnel Policies and Services, the APPS Human Resources (HR) Coordinator provides a wide range of high-level support to OVPFAA and Bloomington campus. The position is the administrative backbone of the APPS team through facilitating the maintenance of faculty records, managing central office communications, supporting crucial academic HR processes, including eDoc processing, and assisting with projects as assigned.

Department Specific Responsibilities
  • Monitors and manages group email account, addressing inquiries (employment verification, payroll, etc.) and routing complex matters to appropriate APPS staff.
  • Updates and maintains campus-wide academic contact lists.
  • Maintains accurate personnel records and related requests, facilitates employment verification requests, oversees Board of Trustees approval documentation, and manages legacy file digitization efforts (e.g., OnBase).
  • Provides logistical and document support for major academic cycles (e.g., Promotion and Tenure, Sabbaticals), including meeting coordination, venue booking, web updates, form testing, and preparation of official decision letters.
  • Facilitates the Misconduct Review Process for tenured hires, ensuring compliance and preventing delays in the hiring process.
  • Ensures consistent application of academic HR procedures across IU Bloomington departments to maintain campus alignment.
  • Manages assigned compliance audits to ensure accurate record-keeping.
  • Collaborates with APPS leadership and colleagues on special projects as assigned.
  • Submits eDoc for specific campus awards and eDoc final approval support for APPS team.

EDUCATION

Required

  • High school diploma or equivalent (such as HSED or GED).
WORK EXPERIENCE

Required

  • 3 years of HR related experience plus advanced experience with Microsoft Office Suite products.
