The State of New Hampshire, Department of Safety, Division of Fire Standards and Training & EMS, is seeking an Academic and Administrative Unit Assistant (Program Assistant I) to support course applications, student records, and certification documentation.

You will maintain databases, issue certificates, coordinate audits, and provide administrative and customer service support including reception, mail, and filing.

Qualifications

  • Equivalent combination of 3 years of education and experience after completion of high school.
  • Valid driver’s license.
  • Fingerprint background check and motor vehicle record check required to ensure suitability for confidential information.
  • Trainee option: 2+ years of relevant education and experience may be hired in trainee status.

Responsibilities

  • Processes course applications by reviewing submissions for completeness and verifying prerequisite requirements.
  • Reviews, verifies, and processes course completion records and student documentation to determine eligibility for examinations and certifications.
  • Maintains participant records by updating and tracking information in computerized databases and other record management systems.
  • Enters course, student, and EMS provider data into databases and issues certification documentation.
  • Coordinates with support staff to audit data entry related to certificates, licenses, and course completions.
  • Provides administrative support including answering phones, reception, mail, scanning and document management, and filing systems.
  • Maintains and updates the Division's website with course announcements and online registration content.
  • Prepares and processes accounts receivable documentation for training programs.

This position offers a Trainee Status* starting at the following pay rate: $17.19 per hour

Summary

Performs diverse duties by processing course applications, student records, and certification documentation, ensuring accuracy and compliance with prerequisites and completion requirements. Maintains and updates databases, issues certificates, and coordinates audits of data entry. Provides administrative and customer service support including office operations, document management, and communication with local fire and EMS leaders and students.

YOUR EXPERIENCE COUNTS

Each additional year of approved formal education may be substituted for one year of required work experience and/or each additional year of approved work experience may be substituted for one year of required formal education.

MINIMUM QUALIFICATIONS
  • Education/Experience: Equivalent combination of 3 years of education and experience after completion of high school.
  • License/Certification: Valid driver’s license
  • Other Requirements: Must pass a fingerprint based criminal background check and motor vehicle record check in order to ensure suitability for exposure to confidential information.
  • Trainee Option: Candidates with an equivalent combination of 2+ years of relevant education and experience after completion of high school may be considered and hired in ‘trainee status’ for this position.

Responsibilities
  • Processes course applications by reviewing submissions for completeness and verifying prerequisite requirements, when applicable.
  • Reviews, verifies, and processes course completion records and student documentation to determine eligibility for examinations, additional agency programs, and professional certifications.
  • Maintains accurate participant records by retrieving, updating, and tracking information in computerized databases and other record management systems to support course administration and certification processing.
  • Enters course, student, and EMS provider data into computerized databases and issues certification documentation to students and their affiliated fire and emergency services departments.
  • Coordinates with support staff to audit data entry related to certificates, practical examination approvals, licenses, and course completion records to ensure accuracy and compliance.
  • Provides comprehensive administrative support to the Division, including answering telephones, staffing reception, processing mail, preparing correspondence, assisting with scanning and document management projects, creating manuals, and maintaining filing systems.
  • Maintains and updates the Division's website with current information, including course announcements, class advertisements, and online registration content.
  • Prepares and processes accounts receivable documentation associated with training programs to ensure accurate billing of departments and individual students.
