Job description

We are a well-established Wealth Advisory and Asset Management Firm in Asia Pacific.

We are seeking a highly driven and dynamic individual to join us as Head of Operations whose role is not purely oversight but also requires direct hands‑on execution of operational and technology deliverables. This role goes beyond oversight as it requires direct execution of critical tasks in client servicing, fund set‑up, fund operations, reporting and technology infrastructure. The ideal candidate thrives in a fast‑paced environment, is detail‑oriented and can balance leadership responsibilities with on‑the‑ground delivery. The role offers the opportunity for growth and self‑development within a rapidly growing business environment.

Key Responsibilities
Funds and PE Operations Leadership
  • Act as the primary operational interface with Financial Advisors, clients and external service providers.
  • Oversee and refine processes related to onboarding, documentation, account opening, trade support and ongoing service delivery.
  • Design and implement scalable SOPs for reporting, reconciliation, document handling and transaction monitoring.
  • Monitor service levels, turnaround times and internal control checkpoints across all operational touchpoints.
  • Coordinate seamlessly between operations, compliance, investment counsellors, financial advisors and business development teams.
  • Drive team accountability, upskilling and continuous process improvement.
  • Ensure all practices align with company policy and jurisdictional regulatory frameworks.
Direct Task Execution (Operations)
  • Lead and manage fund set‑up and structuring with administrators, legal, custodians and banks, including ISIN applications and bank account opening.
  • Lead and execute all ongoing fund operations.
  • Execute ad‑hoc NAVs, reconciliations and urgent investor reporting as required.
  • Liaise directly with administrators, custodians and external vendors to complete operational deliverables.
  • Support internal client onboarding processes, subscriptions and redemption processes of investors into funds managed by the Company.
  • Assist Financial Advisors on subscriptions and redemption processes, and on facilitation of investments and/or products by their clients.
  • Lead and execute structuring and facilitation of investments and/or products including, but not limited to, private equity deals introduction.
  • Provide support to Financial Advisors in all matters relating to clients and prospective clients ranging from client queries and any ad‑hoc requests.
  • Liaise with Financial Advisors, investment counsellors, operations team, clients, prospects, banks and other external service providers.
  • General administrative support to Financial Advisors as required.
  • Support the running of business development initiatives and projects such as maintaining a firm‑wide central pipeline, tracking adoption and efficacy of recommendations made by the Firm, and assisting with the running of any key control checks specified for sales management.
Wealth Management System
  • Manage portfolio consolidation software with corresponding database (data feeds, reconciliations and reporting).
  • Review and deliver portfolio consolidation and reporting packages with accuracy and timeliness.
  • Dispatch client statements as per company standard operating procedures.
Business Tie Ups and Relationships
  • Assist in engaging with third‑party partner arrangements (such as fund managers, banks, etc.) towards ensuring the extension of holistic solutions to meet our clients’ wealth management needs.
  • Assist in tie‑up of relationships with business partners including, but not limited to, coordination for due diligence, agreements and necessary set‑up.
  • Design and implement scalable SOPs required for new business initiatives.
  • Manage vendor relationships, technology procurement, and IT service performance.
  • Manage escalations and vendor‑related resolution.
Technology Strategy & Infrastructure Leadership
  • Develop and execute a comprehensive technology roadmap aligned with business goals and scalability needs.
  • Oversee IT systems covering infrastructure, data management, cybersecurity, user access, business applications and cloud platforms.
  • Ensure compliance with industry security standards and regulatory expectations (MAS, FATF, PDPC).
  • Lead business continuity planning (BCP) and disaster recovery (DR) testing and readiness.
  • Drive digital transformation initiatives to improve efficiency, reporting and client engagement.
  • Manage vendor relationships, technology procurement, and IT service performance.
Direct Task Execution (Technology)
  • Deploy and administer SharePoint and portfolio reporting/consolidation systems.
  • Oversee user access controls, system configurations and cybersecurity enforcement.
  • Perform data integrity checks, migrations and reconciliations across platforms.
  • Personally manage escalations and vendor‑related resolution.
  • Conduct and document BCP/DR drills, implementing corrective measures.
What We’re Looking For
  • High standards of ethics and conduct; ensures confidentiality of clients’ assets and information.
  • Proven track record in fund operations, financial reporting systems and IT infrastructure management.
  • Strong knowledge of compliance frameworks and operational risk management.
  • Ability to personally execute operational and technology deliverables, not just oversee.
  • Hands‑on experience with portfolio consolidation systems and fund reporting platforms preferred.
  • Strong leadership skills with the ability to mentor teams while completing mission‑critical tasks.
  • Excellent problem‑solving skills with resilience to manage escalations under pressure.
