Job summary

A leading educational institution in Singapore is looking for an experienced individual in administration to oversee daily operations, manage student records, support HR processes, and optimize digital systems. The ideal candidate has at least 5 years of experience in school administration, a diploma, and strong negotiation, communication, and interpersonal skills. Working hours are Monday to Thursday from 6:30 AM to 4:00 PM and Friday from 6:30 AM to 3:30 PM.

  • Review and improve administrative workflows and SOPs.
  • Handle student administrative matters including transfers and records.
  • Support HR processes like recruitment and onboarding.
  • Assist in procurement processes and expenditure tracking.
  • Act as a key liaison between stakeholders and departments.
  • Support implementation and optimization of digital systems.
  • Identify opportunities for automation and process improvement.

Job description
Job Responsibilities:
Administrative Management

1. Oversee and coordinate daily general office operations to ensure efficiency and compliance with school policies

2. Review, streamline, and improve administrative workflows and standard operating procedures (SOPs)

3. Ensure timely and accurate handling of correspondence, records, and documentation

Student Administration

4. Oversee student administrative matters including transfers, withdrawals, and student records

5. Ensure accurate maintenance of student data in school management systems

6. Support communication with parents/caregivers on administrative matters with sensitivity to SPED needs

Human Resource & Staff Support

7. Support HR processes such as recruitment administration, onboarding, staff records, and leave management

8. Assist in coordination of staff welfare initiatives and staff-related administrative matters

9. Ensure compliance with HR policies, employment guidelines, and confidentiality requirements

Financial & Resource Administration

10. Assist in procurement processes and expenditure tracking

11. Ensure adherence to financial policies and audit requirements

12. Coordinate with vendors, service providers, and APSN Shared Services on administrative and financial matters

Stakeholder & Inter-Departmental Coordination

13. Act as a key liaison between school leaders, teachers, departments, APSN Shared Services and external agencies

14. Support school events, meetings, and official functions, including procurement, logistics and documentation

15. Handle enquiries professionally and represent the school positively

Systems, Digitalization & Continuous Improvement

16. Support implementation and optimization of digital systems (e.g. leave systems, data management tools)

17. Identify opportunities for automation and process improvement

18. Prepare reports, data summaries, and administrative insights for school leadership

Other Duties

19. Perform any other duties as assigned by School Leaders, Key Personnel & Department Managers to support school operations and strategic objectives

  • Minimum Diploma
  • At least 5 years of experience in administration of school matters.
  • MS Word, MS Excel, MS Powerpoint

  • Interpersonal and customer service skills
  • Working hours: Mondays to Thursdays between 6.30am to 4.00pm & 6.30am to 3.30pm on Fridays.
