Job Summary
Provide comprehensive secretarial and administrative support to the Managing Director and management, ensuring efficient coordination of appointments, meetings, travel, and company documentation to support smooth business operations.
Responsibilities
- Manage and organize appointments, meetings, schedules, and travel arrangements to optimize management’s time and priorities
- Coordinate meetings by preparing necessary documents and accurately recording meeting minutes for effective follow-up
- Liaise with government agencies, banks, landlords, lawyers, insurers, and other external parties to facilitate company matters and maintain professional relationships
- Assist in preparing, reviewing, and filing company documents, contracts, tenancy agreements, and reports to ensure compliance and proper record-keeping
- Conduct research and compile detailed information or reports as requested by management to support informed decision-making
- Coordinate and follow up with internal departments and external parties to ensure timely completion of tasks and projects
- Handle confidential information with professionalism and discretion
- Support additional business, administrative, and ad-hoc tasks assigned by management to contribute to overall operational efficiency
Preferred competencies and qualifications
- Diploma or Degree in Business Administration, Management, or a related discipline
- Proficient in Microsoft Office applications to produce professional documents and presentations
- Strong written and verbal communication skills in English and Chinese to facilitate clear and effective correspondence
- Well-organized with strong attention to detail to ensure accuracy and completeness in all tasks
- Ability to multitask and independently follow up on assignments to meet deadlines
- Willingness to learn and adapt in a dynamic work environment
