Job Summary

We seeking a proactive, organized, and detail-oriented individual to join our team as an Sales Admin & Manpower IC.

Primary Responsibilities
Sales & Administrative Support
  • Prepare sales proposals and quotations in collaboration with the Sales Team

  • Compile, check, and submit documents for proposals and quotations

  • Manage and oversee administrative matters related to sales and camp operations

  • Prepare manpower documentation for submission to clients and schools

  • Attend to incoming calls and general office enquiries professionally

  • Provide general administrative support for company activities, camps, and events

Manpower IC & Recruitment Coordination
  • Plan and execute recruitment for trainers and facilitators

  • Manage job postings and support recruitment processes

  • Contact applicants to arrange and coordinate interviews

  • Coordinate interview schedules and logistics for new trainer recruitment

  • Coordinate attendance and logistics for Train-the-Trainers (TTT) sessions

  • Liaise with current and regular trainers to confirm availability for camps and programmes

Trainer Records & Compliance Management
  • Maintain and monitor records of trainer certifications

  • Compile, track, and follow up on certification renewals, including but not limited to:

    • MOE Instructor Registration System (IRS)

    • Standard First Aid & CPR/AED

    • Kayak Coach Certifications

    • ACCT Level 1 (L1) Certifications

  • Compile trainers’ CVs and certifications

  • Prepare Annex F documentation (MOE-required compilation of trainers’ CVs and certifications)

  • Ensure all trainer documentation submitted to clients and MOE is accurate and up to date

Secondary Responsibilities
  • Assist in setting up meeting rooms and interview spaces

  • Support Next Factor (retail department) in packing and preparing goods for delivery

  • Provide ad-hoc administrative and operational support when required
