Job description
The Role:

This position exists to receive goods according to established purchase orders and to ensure that goods received meet specifications and that the quality of the goods received meets expectations. The incumbent also ensures that all records in respect of good received and drawn out are updated in the computer MC System and to complete the required receiving records for goods received. To arrange for goods received to be placed into hotel storeroom or to be collected by concerned department.

Receiving of Goods:
  • Ensure that all goods delivered to the Hotel comply with the specifications stated in the Purchase Order or market list.
  • Inspect goods received to ensure they are of acceptable quality and to prevent damaged goods being accepted. For fresh food items, arrange for a chef to be present at delivery to inspect quality of goods. Ensure goods with expiry dates have at least 6 months of life remaining.
  • Ensure that all goods are accompanied by a delivery order or invoice.
  • Ensure that all goods delivered and received into the Hotel are in good condition, of the right quantity, brand and price as per the purchase order.
  • Work closely with the Cost Controller, the Purchasing Team and the end-users.
  • Return any unacceptable goods to supplier, update receiving records for goods returned and advise purchasing so that goods may be re-ordered.
  • To move accepted products to storage areas immediately to minimize employee theft and deterioration of product quality.
  • To ensure proper documentation on all goods delivered to the hotel as well as those returned to the suppliers.
  • To summarize and record all goods purchased by the hotel on a daily basis and send to cost controller for verification
  • To participate and assist in the regular month-end/periodic inventory count.
  • To ensure the cleanliness of the Receiving Bay by liaison with Store helper or Stewarding Staff whenever cleaning is required.
  • To be well versed in all descriptions and types of operating equipment for the Hotel, including maintaining catalogues, sample pictures of such items for reference.
  • Performs other duties as required
Other Responsibilities:
  • Providing timely feedback to the Cost Controller and Purchasing Manager on relevant information pertaining to goods delivered
  • Ensure that the receiving weighing scale is periodically calibrated and maintained.
  • Ensure that the receiving area is thoroughly washed after the receiving hours daily.
  • Ensure that the refrigerators and the walk-in chiller are periodically maintained and in good working order.
  • Ensure that the refrigerator and the walk-in chiller are thoroughly washed everyday after all the goods received for the day have been removed.

  • GCE ‘O’ Level / Diploma in hospitality

  • Sound understanding of hotel’s purchasing and receiving policies and procedures.
  • Knowledge of goods and services received.
  • Skills in the use of CheckEAM, Hospitality One, Word & Excel.
