Job Summary
This role provides comprehensive administrative, coordination, and logistical support to youth services, youth small groups, and associated sub-ministries, enabling impactful youth engagement and seamless event execution.
Responsibilities
- Coordinate and manage logistics for multiple monthly sub-committee meetings by booking venues, preparing refreshments, taking minutes, and tracking attendance to ensure efficient meeting operations.
- Organize weekly youth service operations by rostering and coordinating volunteers, managing service orders, supporting audio-visual needs, and facilitating service leadership roles such as preaching and Holy Communion stewardship.
- Lead or support weekly Youth Small Group sessions by booking appropriate rooms and collaborating with other ministries to create a conducive environment for youth engagement.
- Plan and administer youth ministry events by recruiting and training leaders, managing participant registration and consent forms, setting up venues, and providing audio-visual support to ensure successful event delivery.
- Provide administrative and logistical assistance for NextGen and Wesley initiatives including inter-generational services, seasonal events (Easter, Christmas), and young adult programs to enhance community involvement.
- Support youth ministry retreats and camps, including overnight stays, by coordinating logistics to facilitate immersive youth experiences.
- Maintain and update inventories and budgets, and process financial claims on behalf of youth ministry volunteers and staff to ensure accurate resource management.
- Utilize Microsoft Office applications (Word, Excel, PowerPoint) and virtual meeting platforms (Zoom, MS Teams) to support administrative and communication tasks effectively.
- Adapt to non-traditional work schedules including evenings, weekends, and overnight commitments to meet ministry needs.
Preferred competencies and qualifications
- Diploma holders and above.
- Experience operating current audio-visual and sound/light equipment.
- Demonstrated pastoral care and commitment to youth development.
- Minimum 5 years of relevant working experience.
- Proficient knowledge of Microsoft Office applications including Word, Excel, and PowerPoint.
- Familiarity with virtual meeting platforms such as Zoom and MS Teams.
- Ability and willingness to work non-traditional schedules including evenings, weekends, and overnight camps.
