Job summary

The Japanese Association, Singapore is seeking a Junior Procurement Executive to support end-to-end procurement activities including sourcing, requisitions, quotations, PO issuance, delivery follow-up and invoice handling in our F&B and related operations.

You will evaluate suppliers, negotiate terms, monitor orders, inspect delivered goods, ensure compliance with policies, and maintain vendor records while supporting internal teams to meet product requirements.

Responsibilities

• Manage the end-to-end procurement process for the company (include F & B), including sourcing, purchase requisitions, quotation comparisons, contract renewal, negotiations, Purchase Order (PO) issuance, delivery follow-up, DO/SR/invoices uploading to procurement system, and order closure.
• Source, evaluate, and assess suppliers and vendors, including requesting and comparing quotations.
• Negotiate with vendors on pricing, contract terms, payment terms, and delivery schedules to achieve the best value for the company.
• Monitor and track purchase orders to ensure timely delivery and adherence to agreed terms.
• Inspect purchased products upon delivery and promptly report any discrepancies, damages, or quality issues.
• Verify procurement documents and ensure compliance with company guidelines, purchasing policies, and procedures.
• Coordinate with internal departments to ensure smooth and timely procurement processes and fulfilment of product requirements.
• Maintain good relationships with suppliers and monitor supplier performance and service levels.
• Monitor supplier/vendor contracts, pricing, and agreed terms to ensure compliance and identify any discrepancies.
• Maintain and update the vendor database and supplier records.
• Perform any other ad hoc duties and responsibilities as assigned by the management.
