Job description

Key Responsibilities

Inventory & Stock Control

• Handle incoming and outgoing stocks, including stock-in of supplier invoices
• Monitor stock levels and product expiry for timely reordering, exchanges, and stock adjustments
• Perform monthly cycle counts and investigate discrepancies
• Maintain accurate records in the inventory management system and database

Procurement & Sourcing

• Support local and overseas procurement of therapeutic products, medical devices, and consumables
• Follow up on quotation requests with local and overseas suppliers
• Liaise with suppliers to obtain pricing, specifications, and lead times

Quotation & Order Processing

• Prepare quotations by compiling supplier information and drafting markup tables
• Submit finalized quotations to customers
• Draft purchase orders to suppliers
• Prepare invoices and delivery orders to customers
• Pack and coordinate customer orders

Logistics & Regulatory Support

• Arrange shipments and coordinate delivery schedules between Pills & Pokes, suppliers, and customers
• Apply for and follow up on HSA Special Access Route (SAR) applications for local customers

Requirements

• Minimum 2–4 years of relevant experience in procurement, inventory, or supply chain roles
• Willingness to learn and adapt in a fast-paced environment
• Strong team player with the ability to respond to urgent operational needs
• Proficient in Microsoft Word, Excel, and PowerPoint
• Proficient in English or Bahasa (to liaise with suppliers/customers)
• Able to perform basic inventory data analysis (e.g. stock movement, variance tracking)
