Job Summary
We are seeking a detail-oriented and organized Operations Executive to provide administrative and operational support to the Vice-Principal (Administration) and Operations Manager in the day-to-day running of a primary school.
The successful candidate will support school operations, facilities and estate management, vendor coordination, procurement, inventory, safety and security, events, and general administrative activities while maintaining a safe, well-functioning, and welcoming environment for pupils, staff, and parents.
Key Responsibilities
- Assist with daily school operational processes, including scheduling, correspondence, documentation, and logistics coordination.
- Coordinate logistics for school events, programmes, examinations, emergency exercises, and meetings.
- Receive, record, and follow up on facility defects, feedback, and operational disruptions.
- Assist in supervising business partners and contractors for building maintenance, cyclical repairs, and infrastructure improvement works.
- Conduct routine checks of classrooms, playgrounds, Science Laboratories, AVA rooms, and other school facilities to ensure cleanliness and safety.
- Work closely with Operations Support Officers (OSOs) on cleaning schedules and asset maintenance.
- Liaise with vendors, contractors, and external stakeholders on facilities and operational matters.
- Assist in preparing operational reports, administrative documents, and records.
- Support procurement of products and services required for school operations.
- Assist with procurement and inventory management of school supplies and equipment.
- Support school safety and security procedures, including safe arrival and dismissal of pupils.
- Maintain asset and inventory records and ensure documentation is accurate and up to date.
- Assist with renovation project planning and operational coordination.
- Support the school during operational emergencies and crisis situations.
- Perform other ad-hoc duties assigned by the Vice-Principal (Administration) or Operations Manager.
Qualifications
- Minimum GCE 'O' Level or equivalent.
- Proficient in Microsoft Office applications, including Word, Excel, and PowerPoint.
- Good general computer literacy and ability to work with digital systems and workflows.
- Strong interpersonal and communication skills.
- Good vendor coordination and negotiation skills.
- Able to handle crisis situations calmly and effectively.
- Strong organizational and multitasking abilities.
- Able to work collaboratively with teachers, staff, parents, vendors, and other stakeholders.
- Experience in a school or child-centric environment would be an advantage.
- Fire Safety Manager (FSM) or Workplace Safety and Health (WSH) certification is an added advantage.
Experience
- Minimum 2 years of experience in operations, logistics, and/or estate management.
- Experience in an administrative and operations role is preferred.
- Experience in facilities coordination, vendor management, procurement, inventory, or estate operations is advantageous.
- Candidates with experience supporting school operations will be preferred.
