V-SWIFT PTE. LTD. in Singapore seeks a School Operations Assistant to support daily operations, scheduling, correspondence, and event coordination across facilities.
You will work closely with operations teams to ensure smooth running of classrooms, venues, and administrative processes. The role involves monitoring facilities, coordinating with OSOs and vendors, assisting with procurement and inventory, and upholding safety and security protocols.
Assist with daily school operations, scheduling, correspondence, documentation, and coordination of events, programmes, examinations, and meetings.
Monitor and report facility defects, feedback, and operational disruptions.
Support the supervision of contractors and vendors for maintenance, repairs, and infrastructure improvements.
Conduct routine inspections of school facilities, including classrooms, playgrounds, Science Laboratories, and AVA rooms, to ensure cleanliness and safety.
Coordinate with Operations Support Officers (OSOs) on cleaning schedules and asset maintenance.
Liaise with vendors, contractors, and external stakeholders on operational matters.
Assist with procurement, inventory management, and maintenance of school supplies and equipment.
Support school safety and security protocols, including pupil arrival and dismissal arrangements.
Maintain accurate asset records, administrative documents, and renovation project records.
Undertake any other duties assigned by the VPA or OM.
Minimum GCE 'O' Level or equivalent, with at least 2 years of experience in operations, logistics, or estate management.
Experience in administrative and operations roles; school or child-centric environment experience is an advantage.
Proficient in Microsoft Office (Word, Excel, and PowerPoint) and general computer applications.
Strong communication, interpersonal, organisational, and vendor coordination skills.
Ability to multitask, manage shifting priorities, and respond calmly to operational issues.
Collaborative team player with a patient and nurturing disposition.
Comfortable working under a dual reporting structure.
Fire Safety Manager (FSM) or Workplace Safety and Health (WSH) certification is an added advantage.
