Our client, a Japanese marine equipment company, seeks an Operations Executive in Singapore to manage end-to-end sales operations, including quotation preparation, order processing, delivery coordination and invoicing.

You will handle shipping documentation, coordinate with freight forwarders, manage Incoterms, support CRM, and liaise with headquarters in Japan to ensure smooth sales execution and customer satisfaction.

Responsibilities

• Sales Operations & Order Management: Manage end-to-end sales process for spare parts and new building projects, including quotation preparation, order processing, delivery arrangements and invoicing.
• Shipping & Logistics Coordination: Prepare shipping documentation (delivery orders, packing lists, invoices), coordinate with freight forwarders, manage international shipping per Incoterms.
• Sales Support & Administration: Prepare sales reports, coordinate with Japan HQ on operations and technical matters, support exhibitions and business development initiatives.

Our client is a Japanese company operating in the marine equipment industry. They are seeking a Operations Executive to join their Singapore office. The role involves managing end-to-end sales operations, including quotation preparation, order processing, delivery coordination, invoicing and shipping documentation. The successful candidate will also support customer relationship management and liaise closely with the company's headquarters in Japan.

Responsibilities

1. Sales Operations & Order Management
   • Manage the end-to-end sales process for spare parts and new building projects, including quotation preparation, order processing, delivery arrangements and invoicing.
   • Follow up on customer enquiries and submitted quotations to support sales target achievement.
   • Maintain relationships with existing customers and develop relationships with new customers.
   • Monitor customer payment schedules and follow up on outstanding invoices.
2. Shipping & Logistics Coordination
   • Prepare and manage shipping documentation, including delivery orders, packing lists and commercial invoices.
   • Coordinate with freight forwarders to arrange shipments and ensure timely deliveries.
   • Manage international shipping arrangements in accordance with applicable Incoterms.
3. Sales Support & Administration
   • Prepare sales reports and maintain accurate sales records.
   • Coordinate with the company's headquarters in Japan on sales operations and technical matters.
   • Support exhibitions, sales activities and other business development initiatives.
   • Perform other ad-hoc duties as assigned.
