Job summary

MINISTRY OF INSTITUTES PTE. LTD. is seeking an Operations role to drive daily cleaning, coating, and logistics activities, coordinating a frontline team and ensuring timely delivery to customers and sites.

The candidate will plan manpower, manage schedules, coordinate deliveries and maintain safety standards across projects, while providing regular updates to management and driving process improvements.

Qualifications

• 2–3 years of relevant operations experience.
• Diploma/Degree in Operations, Business Administration, Logistics, Facilities Management or related field preferred.

Responsibilities

• Oversee daily cleaning, coating and logistics activities to ensure on-time completion.
• Plan and deploy manpower; manage schedules and replacements.
• Coordinate product deliveries and logistics with drivers and warehouse teams.
• Serve as operations link with customers and internal teams to keep projects moving smoothly.
• Coordinate appointments and respond to operational enquiries; address complaints promptly.
• Monitor progress and quality; coordinate corrective actions as needed.
• Ensure use of cleaning products, coating materials, equipment and PPE.
• Maintain compliance with SOPs, ISO 9001 & 45001, safety and customer site rules.
• Maintain accurate schedules, delivery documents, attendance records, and reports.
• Handle last-minute changes and resolve scheduling conflicts with a practical approach.
• Support management to improve processes and drive efficiency.

Job description

Role Snapshot:

1.Drive Daily Operations: Oversee and coordinate daily cleaning, coating and logistics delivery activities to ensure jobs are completed efficiently, on time and to Company standards.

2.Lead Manpower Coordination: Plan and deploy manpower, manage schedules, coordinate replacements and ensure the right team is assigned to the right job.

3.Coordinate Deliveries & Logistics: Manage product delivery schedules, coordinate with drivers and warehouse teams, and ensure products reach customers and jobsites accurately and on time.

4.Be the Operations Link: Work closely with customers, supervisors, team leaders, drivers and internal teams to keep jobs, projects and deliveries running smoothly.

5.Deliver Great Customer Experience: Coordinate appointments, understand customer requirements, respond to operational enquiries and ensure issues or complaints are followed up promptly.

6.Monitor Quality & Performance: Track job progress and service quality, identify gaps and coordinate corrective orrectification works when required.

7.Manage Resources: Ensure cleaning products, coating materials, equipment, PPE and other operational resources are available and properly utilised.

8.Maintain Safety & Standards: Ensure compliance with Company SOPs,
ISO 9001 & 45001 standards, safety requirements, proper handling procedures and customer site regulations.

9.Keep Operations Organised: Maintain accurate schedules, job records, delivery documents, attendance records,reports and other operational documentation.

10.Solve Problems & Take Ownership: Handle last-minute changes, manpower shortages, scheduling conflicts, urgent jobs and delivery issues with a practical, solution-focused approach.

11.Support Business Growth: Work with Management to improve processes, increase operational efficiency, enhance service quality and support new projects and business opportunities.

12. Be a Key Support to Management: Provide regular updates on operations, manpower, projects, deliveries, customer matters and areas for improvement, while taking on other operational assignments when required.

Who We’re Looking For:

1.Diploma/Degree in Operations, Business Administration, Logistics, Facilities Management or relatedfield preferred.

2.2–3 years of relevant operations experience, preferably in cleaning, disinfection or service industries.

3.Good at planning, scheduling & coordinating people, jobs and daily operations.

4.Strong organizational, communication and problem-solving skills with good customer service ability.

5.Proactive, hands-on and responsible,with the ability to manage multiple tasks and work in a fast-paced environment

6.Able to multi-tasks and work independently while also coordinating effectively with various stakeholders.

7.Someone who enjoys taking responsibility, solving challenges and seeing projects through from start to finish.
