Job summary

Maxsen Smart Home designs and installs smart switches, control panels, smart lighting and shade systems for homes across Singapore. We are seeking an Operations Coordinator to own how installation work is planned and delivered, ensuring timely, accurate execution and clear customer communication.

This hands-on role focuses on scheduling, coordinating with customers and contractors, tracking stock, generating invoices, and maintaining precise job records from confirmation to handover.

Qualifications

• Minimum 2 years in scheduling, dispatch, project coordination or operations support.
• Capable of managing a schedule under competing pressures and holding to a plan.
• Strong written and spoken communication for direct customer contact.
• Organised, detail-oriented, able to track many jobs in parallel.
• Working knowledge of Excel or Google Sheets and comfortable picking up new tools.
• Able to work from Tampines or Yishun showroom.

Responsibilities

• Plan the weekly installation schedule for the installation and integration team, grouping jobs by geographical zones to minimise travel time.
• Assign jobs to the right team member based on job complexity.
• Coordinate installation dates with renovation and handover timelines, working with customers' contractors and electricians.
• Hold the schedule firm week to week, escalating genuine conflicts.
• Confirm installation dates with customers and send reminders ahead of appointments.
• Respond to customer enquiries on job status, delivery timing and appointment changes.
• Book showroom appointments for enquiries received through our website, social media and referrals.
• Coordinate warranty claims and service callbacks, and schedule them into designated service slots.
• Track inventory of switches, panels, lighting and accessories against upcoming jobs; flag reorder needs.
• Raise purchase orders and follow up with suppliers on incoming stock.
• Issue customer invoices and receipts; maintain records in internal system.
• Maintain accurate job records from confirmation through to completion.

Job description

Maxsen Smart Home designs and installs smart switches, control panels, smart lighting and shade systems for homes across Singapore. We work closely with renovation contractors and interior designers.

We are looking for an Operations Coordinator to take ownership of how our installation work is planned and delivered. This role exists to take that over and run it properly.

This is a hands-on coordination role, not a supervisory one. You will be the person who decides when each job happens, makes sure the team and stock are ready for it, and keeps customers informed from confirmation through to handover.

What you will do

Installation scheduling

• Plan the weekly installation schedule for our installation and integration team, grouping jobs by geographical zone to minimise travel time
• Assign jobs to the right team member based on job complexity
• Coordinate installation dates against renovation and handover timelines, working with customers' contractors and electricians
• Hold the schedule firm week to week, and escalates genuine conflicts rather than reshuffling around individual requests

Customer coordination

• Confirm installation dates with customers and send reminders ahead of appointments
• Respond to customer enquiries on job status, delivery timing and appointment changes
• Book showroom appointments for enquiries received through our website, social media and partner referrals
• Coordinate warranty claims and service callbacks, and schedule them into designated service slots

Stock and administration

• Track inventory of switches, panels, lighting and accessories against upcoming jobs, and flag reorder needs
• Raise purchase orders and follow up with suppliers on incoming stock
• Issue customer invoices and receipts, and maintain records using our internal system
• Maintain accurate job records from confirmation through to completion

What we are looking for

Required

• At least 2 years in a scheduling, dispatch, service coordination, project coordination or operations support role
• Comfortable managing a schedule under competing pressures, and confident holding to a plan when asked to make exceptions
• Strong written and spoken communication for direct customer contact
• Organised, detail-oriented, and able to keep track of many jobs running in parallel
• Working knowledge of Excel or Google Sheets, and comfortable picking up new software tools
• Able to work from our Tampines or Yishun showroom

Advantageous

• Experience coordinating field technicians or installers in renovation, interior fit-out, air-conditioning servicing, telco installation, security systems or similar
• Familiarity with the Singapore renovation timeline and how trades sequence on site
• Exposure to smart home, electrical or audio-visual products
