Job summary

Jones Lang LaSalle, Inc. in Singapore is seeking a Facilities Coordinator for Soft Services to partner with the Soft Service Lead and team in day-to-day operations and event support.

The role focuses on coordinating janitorial, pantry, waste, and landscape services, daily inspections, and on-site vendor management to ensure timely delivery of services. Responsibilities include coordinating space planning, meeting room arrangements, and on-site onboarding/offboarding, with a focus on efficiency

Responsibilities

• To handle feedback/issues and escalate to relevant parties to follow up until completion
• Manage the feedback/complaints of the user when it comes to janitorial, pantry services, pest control, waste management, vending machine, and landscape/water feature.
• Responsible for coordinating and improving efficiency of storage, space planning, event planning and meeting room arrangement.
• Support ad hoc client event outside office hours as and when needed
• Closely monitor soft services vendor day-to-day operation and attendance daily.
• Conduct daily site walk inspections and follow up on issues daily
• Conduct joint monthly meetings and monthly inspections with the cleaning vendor operation manager
• Ensure that the inspection checklist and any soft services vendor relevant documents are in place
• Conduct random checks on cleaner and gardener
• Create and verify Corrigo WO and ensure WO closes on time for soft service vendor
• Assist with soft service on-site incumbent on-boarding and off-boarding process
• Manage consumption and ordering of Pantry items, Coffee Beans / Nespresso Capsules, Pola water, First Aid Kit items, and Stationery items as and when needed
• Ensure all services and deliverables are on time
• Complete additional responsibilities as assigned
