Job summary

A leading investment firm in Singapore is looking for an Executive Assistant to manage office operations and provide executive support to a senior partner. Responsibilities include vendor relations, scheduling, and coordinating investor meetings across time zones. The ideal candidate will have experience in executive assistance and strong organizational skills, with proficiency in both English and Mandarin preferred. Key Responsibilities
  • Oversee general office management, including vendor relations, lease renewals, facilities maintenance, and office setup or renovation.
  • Ensure smooth daily operations and efficient coordination with external service providers.
  • Provide executive assistance to a senior investment partner based in the U.S., including calendar and travel management.
  • Coordinate investor meetings, roadshows, AGMs, and fund-related events across multiple time zones.
  • Manage scheduling for investor relations (IR) conferences and LP meetings.
  • Prepare LP profiles, maintain meeting records, and manage data in Salesforce.
  • Support fundraising and corporate functions from planning to execution.
  • Handle ad-hoc administrative and project-related duties.
Key Requirements

Proven experience in executive assistance and office management roles, ideally within the finance or investment sector.

Strong organizational skills with the ability to multitask, prioritize, and perform under pressure.

Excellent written and verbal communication skills in English, with working proficiency in Mandarin (ability to read Chinese preferred).

Mature, dependable, detail-oriented, and proactive in managing responsibilities independently.
