Job Summary
The Construction Office Administrator provides administrative and clerical support to ensure smooth daily operations of a construction office. This role coordinates documentation, communication, and office processes while supporting project managers, supervisors, and field staff.
Key Responsibilities
- Manage daily office operations and administrative tasks
- Prepare, organize, and maintain construction documents (contracts, permits, submittals, RFIs, change orders)
- Answer phones, route calls, and handle correspondence (email, mail, courier)
- Schedule meetings, site visits, and inspections
- Track project files, drawings, and records (digital and physical)
- Assist with payroll, timecards, and expense reports
- Process invoices, purchase orders, and vendor payments
- Maintain vendor, subcontractor, and client contact information
- Support project managers with reports, data entry, and document control
- Ensure compliance with company procedures and record-keeping standards
- Order office supplies and coordinate equipment or service needs
Required Qualifications
- High school diploma or equivalent (associate degree preferred)
- 1–3 years of administrative experience (construction or related industry preferred)
- Strong organizational and multitasking skills
- Proficiency in Microsoft Office (Word, Excel, Outlook)
- Ability to manage deadlines in a fast-paced environment
- Strong written and verbal communication skills
Preferred Skills & Experience
- Familiarity with construction terminology and processes
- Experience with construction management or accounting software (e.g., Procore, Buildertrend, Sage, QuickBooks)
- Basic knowledge of invoicing, or bookkeeping
- Attention to detail and problem-solving skills
Work Environment
- Office-based with occasional interaction with job sites
- Full-time (may require occasional overtime depending on project needs)
