Job Description

The Legal Technology and Operations Manager plays a critical role in supporting the NUS Office of Legal Affairs department by managing and optimizing legal technology solutions and driving operational excellence. The role is responsible for the day‑to‑day administration of legal applications—leveraging on technology while also leading process improvements, managing vendors, overseeing budgets, and providing reporting insights. The ideal candidate is solutions‑oriented with a strong understanding of both legal processes and data analytics. The individual contributor role will work closely with stakeholders to ensure that the contracting community adheres to the University’s policies including the University Contract Governance Framework (UCGF), Policy on Approving and Signing Authority (PASA), and that the legal systems and operations fulfil the University’s purposes.

Responsibilities
  • Administer, support, and optimize legal technology platforms:
    • Systems include Enterprise contract management system (ECMS – Icertis CLM), legal case management system (Mattersphere), OLA intranet portal, contract analytics and AI platforms.
  • User support and training for all legal technology applications:
    • Serve as the primary point of contact for troubleshooting, resolving technical and process‑related issues, and providing user support for all legal technology applications.
    • Grant system access to authorised users and manage replacement and removal of users.
    • Assist with user log‑in and interoperability issues with integrated systems, provide support for users, respond to inquiries, and troubleshoot technical issues.
    • Resolve configuration and customization defects.
    • Work with users and legal counsels to keep systems up to date with any business changes, e.g., update contract templates, workflows and system configurations.
    • Develop and update documentation, training materials, and best practice guides for all supported applications and workflows.
    • Conduct training sessions for new users to ensure they understand the systems, their functionalities, and processes.
    • Create, produce and update content – including templates, guidance notes, playbooks, checklists, self‑help resources, training decks, videos, and other educational materials.
  • Systems Monitoring & Maintenance:
    • Collaborate with central NUS IT department to ensure the systems are operating efficiently by monitoring system performance and promptly addressing any technical issues or system bugs.
    • Fix configuration or customization errors caused by feature changes in the platform.
    • Review and assist with new configurations, customization and integration development (e.g., new contract templates and workflows).
    • Remediate issues with integrated systems connected to Integrated Communication interface (ICI).
    • Assist with data fixes.
    • Test user‑specific configurations, ICI functionalities as part of any release before implementing system updates and improvements to the production environment.
    • Perform post‑upgrade sanity checks to ensure that the configurations/implementations run smoothly.
  • Data Repository:
    • Assist in managing the central storage of contracts and other data on the systems, ensuring data is properly categorized, indexed, and easily accessible to authorised users.
  • Risk Management & Compliance:
    • Ensure workflows and processes operate in compliance with the University’s policies. Work with the Office of Risk Management (ORMC) to maintain and update risk checklists and summary forms in systems.
    • Assist in the identification of potential system risks or data and prepare for internal and external audits from time to time.
  • Reporting & Documentation:
    • Generate and deliver periodic operational and management reports, including metrics on system usage, matter management, process improvements, and budget tracking.
    • Maintain system Key Performance Indicators (KPIs) and service levels.
  • Continuous Improvement:
    • Manage relationships with technology vendors, consultants, and service providers, including renewals and performance monitoring.
    • Contribute to the ongoing enhancement of the system by gathering user feedback through surveys and identifying opportunities for system or process improvements.
    • Work with General Counsel to oversee budgeting and spending related to legal technology and operations, including invoice review, cost optimization, and reporting.
    • Monitor industry trends and emerging technologies relevant to legal operations and make recommendations for adoption as appropriate.
Qualifications
  • Bachelor’s degree in Law, Legal Studies, Information Technology, Business Administration or equivalent qualification in a relevant field.
  • Minimum 3‑5 years of experience in legal technology management, legal operations, or a similar function, preferably within an in‑house legal department or law firm.
  • Skills:
    • Basic understanding of contract management life cycle and principles, risk management, and compliance.
    • Strong organisational, communication, and problem‑solving skills.
    • Proficiency in office software (Microsoft Office, Google Workspace).
    • Experience in AI, legal operations is an advantage.
    • Experience with data analytics or business intelligence tools.
  • Attributes:

    • Customer‑focused with excellent service orientation and the ability to effectively liaise with legal professionals, IT teams, and vendors.
