Job description
About Our Client

Our client is a world-class executive coaching and leadership advisory firm serving C-Suite leaders at Global Fortune 250 companies. They work is high-stakes, confidential, and exacting, and operate as a lean, high-performing team that prizes excellence, ownership, and a hospitality-grade standard of service.

The Opportunity

Our Client is seeking an Executive Office Lead to serve as the CEO’s strategic right hand, bringing the judgment of a Chief of Staff and the precision of a top-tier Executive Assistant. You will navigate seamlessly between strategy and execution: securing high-stakes meetings, refining keynote materials, preparing media engagements, and coordinating confidential coaching programs. This is a high-trust, senior-facing role that demands gravitas, discretion, and impeccable execution. You will deploy the CEO’s time as a strategic asset, orchestrate complex global calendars, and communicate with clarity and warmth across C-suite stakeholders. Candidates who operate two steps ahead, creating structure amid complexity and establishing calm, steady momentum in a fast-moving environment, will excel in this role.

What You’ll Do
Time & Priority Leadership
  • Own the CEO’s calendar end-to-end: protect focus time, navigate competing priorities, and orchestrate multi-party, multi-time-zone meetings with C-Suite offices.
  • Prepare concise briefs (context, objectives, decisions, stakeholders) so every meeting is purposeful and on-target.
Executive Liaison and Gatekeeping
  • Serve as the diplomatic first point of contact for requests on the CEO’s time, striking a balance between accessibility and impact.
  • Draft and refine client-facing and internal communications in the CEO’s tone, which is clear, warm, and of high standard.
Operational Excellence
  • Build repeatable systems around client onboarding, recurring engagements, speaking events, and international travel.
  • Anticipate shifts and manage changes in real time, proactively communicating updates and next steps.
Quality & Confidentiality
  • Uphold white-glove service standards across every touchpoint; protect sensitive information with impeccable discretion.
  • Ensure documents, assets, and records are properly organised, labelled, and accessible to the right people.
Who You Are
  • Executive presence: Poised, tactful, and confident when interacting with senior stakeholders and their offices.
  • Owner mindset: Biased to action, detail-obsessed, and relentlessly reliable; you create clarity and momentum.
  • Strategic + hands‑on: Comfortable zooming out to set priorities and zooming in to execute flawlessly.
  • Elite communicator: Concise writer and polished speaker; you tailor tone for boardrooms, clients, and internal teams.
  • Calm under pressure: Excellent judgment, urgency without panic, and a solutions‑first attitude.
  • High‑output, always evolving: You do the work at a championship level and obsess (constructively) about getting 1% better every day.
Preferred background
  • At least five years in roles such as Executive Business Partner, Senior EA to Founder/CEO, Chief of Staff (boutique firm), or Executive Office/Business Manager.
  • Experience in high‑touch, fast‑paced environments (professional services, leadership advisory, family office environment, five‑star hospitality experience, investment, luxury hospitality, or boutique consultancy).
  • Singapore‑based with excellent written and spoken English; comfortable working across global time zones.
Why Join
  • Work directly with a globally respected CEO, a globally recognised top coach and a Hall of Fame speaker, gaining rare access to a leader who is deeply committed to mentoring, developing, and championing top talent.
  • Operate at the highest levels of business with Global Fortune 250 leaders.
  • Join a highly successful, values‑driven boutique firm — intentionally small, globally respected, and free from corporate bureaucracy, where your standards, ideas, and impact truly matter.
  • Competitive salary, bonus incentives, generous leave, hybrid working, and professional development support.
