Job summary

MAKBESAR PTE. LTD. seeks an Events Officer to support and coordinate day-to-day event operations in Singapore.

You will handle venue bookings, customer and stakeholder services, permits and programme administration, ensuring accurate records and smooth coordination with internal and external teams. The role requires a university degree or diploma in a related field, at least three years of relevant experience, and strong analytical, communication and organisational skills.

Responsibilities

  • Manage event and venue booking enquiries through phone, email, digital platforms and other designated channels, including maintaining booking calendars, conducting site show-rounds and coordinating special requests.
  • Support end-to-end administration of events, including booking documentation, contracts, payments, logistics, vendors, permits, event-day operations and post-event follow-up.
  • Coordinate event-day activities, including check-in, registration, site operations, vendor coordination, setup and teardown, while assisting to resolve operational issues.
  • Handle customer enquiries, complaints, requests and feedback, ensuring timely, accurate and professional responses in accordance with service standards, SOPs and TAT.
  • Process and track applications, permits, licences and related documentation, including verifying supporting documents and payments, preparing correspondence and maintaining accurate records.
  • Support planning and coordination of assigned community, environmental, engagement and other programmes, including stakeholder liaison, site and logistics coordination, participant management and programme administration.
  • Maintain accurate databases, trackers, calendars and operational records, and prepare regular reports, statistics and performance information.
  • Collect and analyse operational data to identify trends, service gaps and opportunities to improve workflows, productivity and service quality.
  • Coordinate with internal teams, applicants, clients, vendors, partners and other stakeholders to ensure timely resolution of operational matters and effective service delivery.
  • Ensure compliance with SOPs, service standards, safety requirements and guidelines.
  • Support the implementation of new processes, systems or digital service solutions.
  • Undertake any other duties as assigned by management.

Job description

The Events Officer is responsible for supporting and coordinating day-to-day operations relating to events, venue bookings, customer and stakeholder services, applications, permits and assigned programmes. The role ensures efficient administration, quality service delivery, accurate records and smooth coordination with internal and external stakeholders.

Key Responsibilities
  • Manage event and venue booking enquiries through phone, email, digital platforms and other designated channels, including maintaining booking calendars, conducting site show-rounds and coordinating special requests.
  • Support the end-to-end administration of events, including booking documentation, contracts, payments, logistics, vendors, permits, event-day operations and post-event follow-up.

  • Handle customer enquiries, complaints, requests and feedback, ensuring timely, accurate and professional responses in accordance with established service standards, SOPs and stipulated turnaround times (TAT).
  • Process and track applications, permits, licences and related documentation, including verifying supporting documents and payments, preparing correspondence and maintaining accurate records of application status, renewals and other follow-up actions.
  • Support the planning and coordination of assigned community, environmental, engagement and other programmes, including stakeholder liaison, site and logistics coordination, participant management and programme administration.
  • Maintain accurate databases, trackers, calendars and operational records, and prepare regular reports, statistics and performance information as required.
  • Collect and analyse operational data to identify trends, service gaps and opportunities to improve workflows, productivity and service quality.

  • Undertake any other duties and responsibilities as assigned by management.
Requirements & Qualifications
  • University Degree, Specialist Diploma or Diploma in Events and Venue Management, Marketing, Hospitality and Tourism, Communications, Business Administration or a related discipline.
  • Relevant training or qualifications in MICE Management, Customer Relationship and Service Management, Business Practice, Events or Project Management would be an advantage.
  • At least three (3) years of relevant experience in events and venue management, marketing, hospitality, customer service management, call centre management, quality service management or related fields.
  • Strong analytical, interpersonal and communication skills with an excellent command of written and spoken English.
  • Meticulous, detail-oriented and well-organised, with strong coordination and administrative skills.
  • Able to manage multiple priorities, work independently and remain calm and effective in a fast-paced environment.
  • Experience in data analytics and/or organisational development would be an advantage.
  • Proactive, responsible and adaptable, with the ability to work effectively with internal and external stakeholders.
  • Willing and able to work on weekends and Public Holidays when required.
