Castle Rock EXIM, a Singapore-based e-commerce retailer, seeks an organized E-Commerce Order Fulfilment Coordinator to manage daily orders across marketplaces, our website, and retail channels from receipt to dispatch. You will coordinate with the warehouse, delivery fleet, and couriers, ensuring accurate orders, timely packing, and responsive customer service, including weekend chat support when needed.

Qualifications

• Experience in e-commerce order processing, fulfilment or logistics coordination.
• Familiarity with marketplaces (e.g., Lazada, Shopee) is a plus.
• Strong written and verbal communication and attention to detail.
• Ability to organise and prioritise multiple orders with minimal supervision.
• Willingness to assist with packing and customer support as needed.

Responsibilities

Castle Rock EXIM is a Singapore-based e-commerce retailer specialising in wines, spirits, beers, drinking water and other beverages.

We are looking for an organised, responsible and hands-on E-Commerce Order Fulfilment Coordinator to manage the daily flow of orders from our various sales channels through to packing and delivery.

You will be the key person coordinating daily orders between our sales channels, warehouse, delivery fleet, third-party couriers and customers.

As our warehouse and delivery operations depend on orders being processed promptly each morning, punctuality and being ready to start work at 9:00am are essential for this role.

Key Responsibilities

Order Processing & Fulfilment

• Process daily orders from online marketplaces, company website, direct sales, retail outlets and other sales channels
• Check orders for accuracy and resolve any order-related issues
• Ensure orders are processed promptly and released to the warehouse for fulfilment
• Monitor order progress and follow through until orders are ready for dispatch

Delivery Planning & Coordination

• Determine the appropriate delivery method for each order - company delivery fleet or third-party courier
• Organise company-fleet deliveries according to delivery zones/routes
• Prepare and print shipping documents, delivery documents and labels
• Highlight urgent, special or time-sensitive deliveries
• Coordinate with drivers and third-party couriers to ensure orders are dispatched correctly

Warehouse Coordination & Support

• Assign orders to the warehouse team for picking and packing
• Communicate priorities and special order requirements clearly
• Monitor packing progress and resolve fulfilment issues
• Assist with picking and packing when order volume is high or additional warehouse support is required
• Warehouse packing is not the primary function of this position, but we are looking for someone who is hands-on and willing to help the team when required .

Customer Service & Buyer Chat

• Respond promptly and professionally to customer enquiries
• Monitor and respond to buyer chat messages from marketplaces and other sales channels
• Assist customers with order, delivery and product-related enquiries
• Follow up on delivery or order issues when necessary
• Escalate more complex issues appropriately

Marketplace Payout Reconciliation

• Review and reconcile weekly marketplace payout reports
• Match marketplace payouts against completed and delivered orders
• Verify that payments have been received for all eligible delivered orders
• Identify missing payments, discrepancies, deductions or other payout issues
• Investigate discrepancies against marketplace order and transaction records
• Highlight unresolved payment discrepancies promptly for follow-up
• Maintain accurate reconciliation records for reference and reporting

Weekend Buyer Chat Support

The regular working schedule is Monday to Friday, 9:00am-6:00pm . However, the successful candidate must be willing to monitor and respond to buyer chat messages remotely on weekends when required .

Weekend support does not normally require attendance at the workplace and is intended to ensure important customer enquiries are attended to in a timely manner.

Requirements

• Experience in e-commerce, order processing, fulfilment, logistics coordination or customer service is preferred
• Experience with marketplaces such as Lazada and Shopee will be an advantage
• Comfortable using computers, e-commerce platforms and order management systems (Bigseller)
• Good written and verbal communication skills
• Strong attention to detail and accuracy
• Able to organise and prioritise multiple orders and tasks
• Able to make practical decisions and solve day-to-day operational issues
• Comfortable coordinating with warehouse staff, drivers, couriers and customers
• Reliable and punctual
• Willing to assist with warehouse packing when required
• Willing to provide remote buyer chat support on weekends when necessary
• Able to work independently with minimal supervision
