Job summary

GREEN AVENUE PTE. LTD. seeks a dedicated coordinator to engage volunteers, govern programmes, and align activities with Home standards and priorities. The role focuses on meaningful volunteer experiences and compliant administration.

You will manage recruitment, onboarding, scheduling, training, NOK communications, donations coordination, and documentation, working closely with Nursing, Resident Care, Finance, and Management to ensure resident well‑being and program integrity.

Qualifications

  • Diploma or degree in social care or related field.
  • Experience in nursing homes, healthcare, or social services preferred.
  • Experience managing external stakeholders is advantageous.

Responsibilities

  • Coordinate the volunteer programme within approved guidelines, including recruitment support, onboarding, scheduling, engagement, and retention.
  • Ensure volunteers are briefed, trained, and deployed in line with standards and resident needs.
  • Maintain accurate volunteer records, training logs, and compliance documentation.
  • Support and refine volunteer engagement activities to improve resident well‑being with internal teams.
  • Monitor participation trends and feedback, and recommend improvements.
  • Manage NOK communications channels (WhatsApp, emails, newsletters) to ensure timely information.
  • Coordinate with Nursing, Resident Care Services, and Management to consolidate approved messages for dissemination.
  • Identify NOK feedback gaps and suggest process or messaging improvements.
  • Manage donations from individuals/organizations, track donor details, and ensure proper records and acknowledgements.

The role ensures that volunteers are effectively engaged, governed, and aligned with the Home's standards and priorities.


Key Responsibilities

1. Volunteer Programme Coordination


  • Coordinate the volunteer programme within approved guidelines, including recruitment support, onboarding, scheduling, engagement, and retention.


  • Ensure volunteers are appropriately briefed, trained, and deployed in line with the Home's standards and resident needs.


  • Maintain accurate volunteer records, training logs, and compliance documentation.


  • Support and refine volunteer engagement activities to enhance resident well-being, in collaboration with internal teams.


  • Monitor participation trends and feedback, and recommend improvements where appropriate.



2. Next-of-Kin (NOK) Group-Level Communications


  • Manage structured, non-clinical group or broadcast communications to Next-of-Kin (NOK) to ensure clear, accurate, and timely information flow.


  • Administer official NOK communication channels (e.g. broadcast WhatsApp, email circulars, newsletters, notices, approved Google Forms), in line with PDPA and organisational guidelines.




  • Coordinate with Nursing, Resident Care Services, and Management to consolidate approved messages for dissemination, including:



  • General announcements and updates

  • Process changes (e.g. leave application procedures, visiting arrangements)

  • Events, programmes, volunteer activities, and community initiatives



  • Identify recurring NOK feedback trends or communication gaps and recommend process or messaging improvements.



  • Case‑specific, clinical, or resident‑level matters remain with Nursing and Resident Care Services.


3. Donations & Donor Relationship Management


  • Manage donations received from individuals, organisations, and community partners, including both cash and in‑kind donations.




  • Maintain an accurate donation register, tracking:


  • Donor details


  • Donation type (cash / in‑kind)


  • Description, quantity, and cash value (where applicable)


  • Date received and acknowledgement status




  • Coordinate with Finance and Operations to ensure:

  • Proper handover and recording of cash donations in accordance with financial controls



  • Proper receipt, documentation, and deployment of in‑kind donations
    Prepare, issue, and track letters of appreciation / thank‑you communications to donors in a timely and professional manner.

  • Support Management in maintaining positive donor relationships through appropriate follow‑ups, updates, and recognition, in line with the Home's values and communication guidelines.


  • Ensure all donation‑related records and communications are complete, accurate, and audit‑ready.



4. Governance & Process Hygiene


  • Maintain organised, accurate, and up‑to‑date records related to volunteer programmes and NOK communications.


  • Ensure documentation readiness to support internal reviews and audits.


  • Identify process gaps, risks, or breakdowns and elevate appropriately to Management.


  • Support continuous improvement of workflows and documentation standards within the scope of the role.



Qualifications & Experience


  • Diploma or Degree in Social Work, Counselling, Gerontology, Healthcare Administration, or a related field.


  • Prior experience in nursing homes, healthcare, or social service settings.


  • Experience managing external stakeholders and partnerships is an advantage.


  • Strong interpersonal, communication, and organisational skills.
