Job summary

Private Advertiser seeks an experienced Clinic Operations Manager to oversee daily clinic operations, front desk workflows and patient service. You will manage staffing, inventory, insurance processes and financial controls to enable clinicians to focus on care.

This role requires 3–5 years in clinic operations, strong leadership, and expertise in TPA and billing. 5.5 days work week and a healthcare setting are expected.

Qualifications

  • Minimum GCE ‘O’ Level qualification; Diploma or higher in Healthcare Management, Business Administration or related fields is an advantage.
  • 3–5 years of experience in clinic operations or healthcare supervision.
  • Experience in purchasing, inventory, rostering and front desk operations.
  • Strong knowledge of TPA claims, insurance processes and e-filing systems.
  • Experience in billing, payment reconciliation and financial controls.

Responsibilities

  • Oversee daily clinic operations, front desk workflows and patient service.
  • Supervise appointment scheduling, registration, cashiering and enquiries.
  • Lead front desk staff to deliver patient-centric service aligned with clinic values.
  • Manage purchasing and procurement of supplies and consumables with cost controls.
  • Conduct regular stock takes and inventory audits for accuracy and compliance.
  • Plan rostering to ensure adequate coverage and efficiency.
  • Oversee medication dispensing in line with clinic protocols and regulations.
  • Manage TPA processes including e-filings and Letters of Guarantee with insurers.
  • Perform TPA payment reconciliation and follow-up on receipts.
  • Ensure accurate billing, invoicing and collections; provide financial counselling to patients.
  • Address patient concerns and online feedback promptly with empathy.
  • Monitor KPIs and drive process improvements for efficiency and patient experience.
  • Coordinate MOH licence applications/renewals and regulatory compliance.
  • Perform other duties as assigned by Management.

We are a leading dermatology clinic seeking an experienced Clinic Operations Manager to oversee and optimise daily clinic operations. Working closely with doctors and staff, you will ensure smooth front desk operations, efficient workflows and an exceptional patient experience.

In this role, you will support this vision by managing staffing, inventory, insurance processes and financial controls, enabling the clinical team to focus on patient care.

This role is ideal for a proactive leader who is detail-oriented, operationally strong and passionate about delivering excellence in a healthcare setting.

Job Responsibilities
  • Oversee and manage daily clinic operations, ensuring smooth, efficient and compliant front desk and patient service workflows.

  • Supervise appointment scheduling, patient registration, cashiering and enquiry handling to maintain high service standards.

  • Lead and support front desk staff in delivering warm, professional and patient‑centric service aligned with the clinic’s values.

  • Manage purchasing and procurement of clinic supplies, medications and consumables, ensuring cost efficiency and adequate stock levels.

  • Conduct regular stock takes and inventory audits to ensure accuracy, compliance and optimal inventory control.

  • Plan, manage and optimise staff rostering to ensure adequate coverage and operational efficiency.

  • Oversee medication dispensing processes and ensure adherence to clinic protocols and regulatory requirements.

  • Manage Third Party Administrator (TPA) processes, including submission of e‑filings and Letters of Guarantee with insurance providers.

  • Perform TPA payment reconciliation and ensure timely follow‑up and receipt of payments.

  • Ensure all billing, invoicing and payment collections are accurate, completed promptly and properly documented.

  • Conduct financial counselling and provide guidance to patients on treatment costs, insurance coverage and payment options.

  • Handle and follow up on patient concerns, complaints, service issues, and online feedback (including Google Reviews) in a timely, professional, and empathetic manner, working with the relevant team members to resolve issues and maintain a positive patient experience and the clinic’s reputation.

  • Monitor operational KPIs and implement process improvements to enhance efficiency, accuracy and patient experience.

  • Coordinate and manage MOH licence applications and renewals, ensuring compliance with all regulatory and documentation requirements.

  • Ensure compliance with clinic policies, regulatory standards and internal controls.

  • Perform any other duties as assigned by Management.

Job Requirements

  • At least 3‑5 years of experience in clinic operations, healthcare administration or a supervisory role.

  • Proven experience in purchasing, inventory management, rostering and front desk operations.

  • Strong knowledge of TPA claims, insurance processes, e‑filing systems and Letters of Guarantee.

  • Experience in billing, payment reconciliation and financial controls.

  • Strong leadership, organisational and problem‑solving skills.

  • Excellent communication and interpersonal skills.

  • Able to multitask and manage clinic operations in a fast‑paced healthcare environment.

  • Proficient in Microsoft Office and clinic management systems.

  • Comfortable working in a medical centre or clinic setting.

  • Willing to work 5.5 days per week.
