Job summary

Frencken Group in Singapore is seeking an experienced Procurement Specialist to act as the first point of contact for suppliers, expedite deliveries and manage ERP-based purchasing processes.

You will coordinate with project teams, conduct monthly supplier reviews, ensure timely payments with Accounts, and maintain accurate vendor data while upholding high standards of accuracy and cost control.

Qualifications

• Three years of experience in operational procurement.
• Experience with ERP systems and MRP.
• Strong MS Office skills (Word, Excel, Outlook).
• Solid understanding of procurement processes and best practices.

Responsibilities

• Act as first point of contact for suppliers for operational questions and forecast information.
• Expedite and schedule deliveries to meet timelines, inventory and quality targets.
• Prepare the Freight Cost NPR template from AP invoices.
• Maintain vendor master data in ERP for supplier records and communications.
• Coordinate discussions on indirect/direct material issues with the project team.
• Conduct monthly supplier performance reviews focusing on quality and logistics.

Who are we?Frencken Mechatronics is involved in the development and assembly of industrial systems or the semiconductor industry, the healthcare market, and a wide range of analytical applications. The high-quality precision mechanical parts, machine assemblies, and vacuum systems are assembled in both clean room and non-clean room environments. As a service provider, Frencken Mechatronics also produces high-quality precision components and modules for leading clients in the high-tech industry.Major Duties & ResponsibilitiesAct as first point of contact for suppliers in case of any operational questions including the submission of forecast information about future needs.Expedite/ schedule out deliveries to ensure material ordered is delivered/ pushed out within the agreed timeframe, and at the required inventory and quality level.Daily follow-up with supplier on deliveries at risk and timely escalation to the next level if required.Prepare the Freight Cost Non-Product Related (NPR) Template based on invoices provided by Accounts Payable (AP) Officer.Maintaining vendor master data in the ERP system related to operational exchange of information with vendors, like contact and address information of the Vendors used.Co-ordinate discussion on indirect and direct material issues with Project team.Co-ordinate monthly review with vendors on operational performance regarding quality and logistics.Submission of quality specification from vendor as per customers requirement.Liaise with Account Department on payment matters.Resolve supplier's delivery discrepancy with warehouse.Monitor RTV replacement with supplier until closure.Minimum Job RequirementsEducationAssociate or Bachelor’s degree in supply chain management, business administration, engineering preferably supplemented with certifications in supply chain/procurement, such as NEVI, CIPS etc.Experience3 years experience in operational procurement.Experience with ERP systems and material planning (“MRP”).Extensive knowledge of MS office applications (e.g. Word, Excel, Outlook).Working SkillsProcurement Knowledge: Understanding of procurement processes, procedures, and best practices.Negotiation Skills: Ability to negotiate contracts and terms effectively with suppliers.Supplier Management: Skills in managing supplier relationships and evaluating supplier performance.Analytical Skills: Ability to analyze purchase data, identify trends, and make data-driven decisions.Attention to Detail: Precision in processing orders, managing inventory, and ensuring accuracy in documentation.Communication Skills: Clear and effective communication with suppliers, internal stakeholders, and team members.Problem-Solving Skills: Ability to address and resolve procurement issues quickly and effectively.Time Management: Managing multiple tasks and deadlines efficiently.What do we offer?Frencken is characterized by an informal and collegial atmosphere where every individual is important.
