Job summary

Frencken Mechatronics, part of the Frencken Group, is seeking an order processing and logistics support role in Singapore. The successful candidate will manage customer orders, coordinate shipments, handle returns, and prepare export/import documents in SAP, ensuring accurate and timely delivery.

Responsibilities

• Process customer purchase orders, sales orders, delivery orders, and returns in SAP or relevant system.
• Coordinate order fulfilment, loading schedules, delivery documents and shipment arrangements.
• Handle customer returns with SAP updates and follow-ups.
• Maintain communication with customers via email, Teams, phone and other approved channels.
• Prepare import/export documents and liaise with forwarders to ensure smooth delivery.
• Monitor 3PL inventory and ensure timely invoicing and payments.
• Publish monthly delivery and performance reports.

Who are we?

Frencken Mechatronics is involved in the development and assembly of industrial systems or the semiconductor industry, the healthcare market, and a wide range of analytical applications. The high-quality precision mechanical parts, machine assemblies, and vacuum systems are assembled in both clean room and non-clean room environments. As a service provider, Frencken Mechatronics also produces high-quality precision components and modules for leading clients in the high-tech industry.

Key Responsibilities

• Process customer purchase orders, sales orders, delivery orders, and return transactions accurately in SAP or the relevant system.
• Coordinate order fulfilment, loading schedules, delivery order printing, and shipment arrangements to meet agreed timelines with minimum errors.
• Handle customer returns, including return documentation, SAP updates, issue follow-up, and closure of outstanding matters.
• Maintain effective communication with customers through email, Teams, telephone, and other approved channels.
• Prepare and manage local and overseas shipping documents, including delivery orders, commercial invoices, packing lists, and other required export or import documents.
• Liaise with forwarders, transporters, 3PL providers, internal sales teams, warehouse personnel, and overseas offices to ensure smooth shipment and delivery execution.
• Prepare import GST clearance payment documentation and coordinate with forwarders where required.
• Monitor 3PL inventory, goods receipt, return transactions, and error settlements with customers to prevent payment or invoicing delays.
• Maintain monthly records, delivery order documentation, and on-time delivery reports, including publishing required reports within the first week of each month.
• Support customer issue resolution by following up promptly, escalating when required, and ensuring documentation compliance.

Required Skills and Competencies

• Good customer service and communication skills, with the ability to build rapport with customers and internal stakeholders.
• Strong attention to detail in order processing, documentation preparation, and data entry.
• Good time management and planning skills to handle multiple customer requirements and shipment deadlines.
• Problem-solving ability to identify issues, coordinate corrective actions, and follow through to closure.
• Working knowledge of SAP, sales order processing, delivery documentation, returns, and logistics coordination is preferred.
• Ability to work independently while supporting team objectives and department service standards.
• Basic knowledge of import, export, local delivery, commercial invoice, packing list, and GST clearance documentation and ISO Audit will be an advantage.
