Job summary

An engineering solutions provider in Singapore is seeking an Administrative Officer to manage vehicle administration, oversee office facilities, and provide general administrative support. The ideal candidate will have a diploma in Business Administration, 2-3 years of relevant experience, and strong organizational skills. This role offers a Monday to Friday schedule, with occasional Saturday work.

Qualifications

  • 2–3 years of administrative experience, preferably in a corporate or engineering setting.
  • Meticulous record-keeping and initiative-taking skills.
  • Good attendance, punctuality, and professionalism required.

Responsibilities

  • Manage vehicle insurance, road tax, servicing, and disposal.
  • Oversee service contracts and coordinate cleaning staff.
  • Arrange flights, hotels, and maintain travel records.
  • Prepare meeting minutes and support document flow.

Skills

Proficient in Microsoft Office (Word, Excel, PowerPoint)
Strong organizational skills

Job description
  • Location: Tuas West (walking distance from the MRT)
  • Monday - Friday: 9AM - 5:30PM, 9AM - 12PM Sat(Once a month)

A well-established engineering solutions provider specializing in marine, industrial, and technical services, delivering high-quality engineering support, repairs, and operational reliability for global clients.

Key Responsibilities:
  1. Vehicle & Transport Administration
    Manage vehicle insurance, road tax, servicing, traffic summons, mileage tracking, and disposal/transfer.
  2. Office Facilities & Vendor Coordination
    Oversee service contracts, coordinate cleaning staff, and manage flowers/gift deliveries.
  3. Communications & Office Infrastructure
    Manage corporate mobile plans, usage charges, and update office phone lists.
  4. Travel & Logistics
    Arrange flights, hotels, and maintain travel records.
  5. Procurement & Inventory
    Handle purchase requisitions, stock tracking, supplier invoices, and petty cash.
  6. Documentation & Meetings
    Prepare meeting minutes, maintain Kaizen/Technical Contract Registers, and support document flow.
  7. General Admin Support
    Provide reception coverage and assist management with ad-hoc administrative tasks.
Requirements:
  • Diploma in Business Administration, Office Management, or relevant field.
  • 2–3 years of administrative experience, preferably in a corporate or engineering setting.
  • Proficient in Microsoft Office (Word, Excel, PowerPoint).
  • Strong organizational skills, meticulous record-keeping, and the ability to multi-task.
  • Good communication and interpersonal skills.
  • Willing to take initiative and support ad-hoc tasks when required.
  • Able to maintain good attendance, punctuality, and professionalism consistently.
