Private Advertiser is seeking a meticulous Admin & HR Assistant in Singapore to support payroll verification, timekeeping, and training/certification management, along with general admin tasks. The role requires 1–3 years of HR/admin experience, a Diploma or Higher NITEC, and strong Microsoft Office skills.
We are looking for a meticulous, organized, and reliable Admin & HR Assistant to join our team. This role primarily focuses on core HR functions—specifically worker payroll verification, timekeeping, and training/certification management—alongside essential daily administrative support.
HR & Payroll Support
Worker Payroll Processing:
Verify and track workers' daily attendance through the timekeeping system, including overtime (OT) hours and records.
Assist in computing monthly salaries, allowances, deductions, and OT payments accurately in compliance with Ministry of Manpower (MOM) regulations.
Maintain and update worker master files and personnel records.
Training & Certification Management:
Coordinate and register workers for mandatory safety, skill upgrade, and recertification courses.
Track course expiry dates, maintain training databases, and schedule renewal courses in advance.
Work Pass & Personnel Administration:
Assist with Work Permit (WP) applications, renewals, cancellations, and passport updates via MOM portals.
Coordinate medical check-ups, insurance updates, and onboarding/offboarding processes for workers.
General Administrative Support
Maintain structured digital and physical filing systems for HR documents, worker records, and office administration.
Monitor and reorder office supplies, stationery, and oversee office equipment maintenance.
Handle general incoming calls, emails, and visitor inquiries.
Support management with ad-hoc administrative tasks as assigned.
Education: Diploma or Higher NITEC in Human Resources, Business Administration, or a related field.
Experience: 1–3 years of hands-on experience in HR and admin support.
Skills & Knowledge:
Proficient in Microsoft Office (Excel, Word, Outlook). Good proficiency in Excel (VLOOKUP, basic formulas) is required for payroll verification.
