Job Summary
The Dormitory Administration Executive plays a key role in supporting the daily operations of NESST Tukang Dormitory. This includes handling administrative processes, coordinating procurement, managing resident onboarding, and supporting interdepartmental needs.

Key Responsibilities
1. Administrative Operations
- Implement and support administrative SOPs and workflows.
- Maintain accurate records for contracts, purchase orders, and inventories.
- Update the digital notice board and in-app resident communications.
- Provide general administrative support across departments.
2. Procurement Coordination
- Prepare purchase orders and track deliveries.
- Liaise with suppliers to ensure timely and complete documentation.
- Monitor stock levels and report any shortages or excesses.
- Assist in invoice verification and expense tracking.
3. Facility and Finance Administration
- Monitor service performance of facility vendors (e.g., cleaning, pest control).
- Support the processing of payments and liaise with the Cluster Finance team.
- Track contract timelines, renewals, and key deliverables.
4. Resident Onboarding and Room Management
- Maintain and update the Tenant Management System (TMS).
- Coordinate room allocation, turnovers, and condition checks.
- Schedule and conduct onboarding briefings for new residents.
- Ensure all necessary documentation is properly handled during check-in/out.
5. Event and Community Program Support
- Assist in planning and coordinating dormitory events in line with FEDA and internal engagement initiatives.
- Support the execution of festive celebrations and cultural events (e.g., Deepavali, Hari Raya, National Day).
- Liaise with internal and external stakeholders for event logistics and coordination.
- Create simple digital content (e.g., TikTok videos, posters) to support safety campaigns and community building.
- Contribute to dorm innovation ideas and support implementation of creative engagement initiatives.
6. Reporting and Documentation
- Maintain organized records of administrative and procurement activities.
- Assist in preparing regular dashboards and management reports.
- Support the collection of resident feedback and surveys.
7. Ad-hoc Duties
- Perform any additional tasks assigned by the Administration Manager or General Manager.
Requirements
- Minimum Nitec or GCE 'O' Level qualification.
- 1–2 years of experience in administrative, facilities, or hospitality service support preferred.
- Strong interpersonal skills with a friendly, proactive, and confident personality.
- Ability to work independently and as part of a collaborative team.
- Creative mindset with a keen interest in digital engagement and media content creation (e.g., simple videos or visuals).
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint); experience with TMS or procurement systems is an advantage.
- Comfortable working in a multicultural and fast-paced environment.
- Willingness to work flexible hours, including evenings or weekends, during peak periods or events.
- Multilingual ability (e.g., Bengali, Tamil, Mandarin) is an added advantage but not required.
