Job Summary

We are looking for a responsible and organised Admin Executive to support our daily operations, project coordination, and customer service.

Responsibilities
Administrative & Office Support
  • Perform daily administrative tasks including filing, document control, printing, and scanning to maintain smooth office operations
  • Manage office supplies and stationery by coordinating with vendors to ensure timely replenishment
  • Maintain organised records for projects, invoices, and client documentation to support project tracking and financial accuracy
Customer Service & Coordination
  • Respond promptly to incoming enquiries via WhatsApp, phone, and email to provide accurate information and support
  • Schedule and confirm customer appointments to ensure smooth client interactions
  • Support team communication by updating clients on project progress and addressing their concerns as needed
Project & Operations Support
  • Prepare and manage project paperwork to facilitate efficient project coordination
Finance & Documentation
  • Issue invoices and track payments to support financial processes
  • Organise receipts, vendor invoices, and payment proofs for accounts submission to maintain accurate financial records
System & Reporting Support
  • Update internal tracking sheets using Excel or Google Sheets to monitor project and administrative data
  • Assist in basic administrative reporting and document organisation to support management needs
  • Learn and apply QuickBooks for basic finance and administrative tasks with provided training
Required competencies and certifications
  • Good communication skills in English and Mandarin to effectively interact with clients and team members
  • Ability to use WhatsApp, email, and phone for professional communication
  • Strong attention to detail and organisational skills to manage multiple tasks accurately
  • Ability to multitask and work efficiently in a fast-paced environment
Preferred competencies and qualifications
  • Willingness to learn QuickBooks accounting software to support finance and admin functions
  • Comfort with Microsoft Excel including basic formulas and tracking sheets
  • Familiarity with basic administrative processes and document handling
