• Coordinate with Logistics for loading, transport, and site access.

About the Role

The Warehouse Supervisor manages daily warehouse operations, including the receipt, storage, preservation, identification, and issuance of materials for company projects, while maintaining accurate inventory records and ensuring timely dispatch of materials to project sites.

Responsibilities

• Receive materials delivered by suppliers and transporters against approved Purchase Orders (POs), delivery notes, and other relevant documents.
• Verify delivered quantities, item descriptions, part numbers, specifications, and physical condition against the available documents.
• Identify shortages, excess quantities, damaged materials, and incorrect deliveries, and report discrepancies promptly to Procurement.
• Ensure required documents, such as delivery notes, packing lists, certificates of conformity, and material test certificates, are received where applicable.
• Prepare Goods Received Notes (GRNs) and update the inventory system promptly.
• Maintain accurate stock records, including item descriptions, quantities, serial numbers, locations, and project allocations.
• Ensure all materials are properly labelled, identified, and stored in designated locations.
• Maintain separate identification and records for materials allocated to different projects to avoid mix-ups or unauthorized use.
• Investigate stock discrepancies and report missing, damaged, obsolete, or surplus materials to the Supply Chain Manager.
• Maintain minimum stock levels for common consumables, where applicable, and highlight replenishment requirements.
• Ensure materials are stored according to their nature and manufacturer recommendations.
• Protect sensitive electronic equipment, cameras, networking devices, servers, cables, UPS equipment, and other technical materials from moisture, dust, physical damage, and improper handling.
• Ensure proper storage and identification of cables, accessories, spare parts, and other project materials.
• Monitor shelf life, storage conditions, and preservation requirements where applicable.
• Maintain proper housekeeping, clear access routes, and organized storage areas.
• Issue materials only against approved Material Requisitions, Material Issue Notes, or other authorized requests.
• Verify quantities and item details before releasing materials to project teams, technicians, subcontractors, or authorized representatives.
• Prepare material issue records and obtain acknowledgment of receipt from the concerned personnel.
• Inspect returned materials, document them, and either return them to stock, quarantine them, or report them for further action.
• Prepare materials for dispatch according to approved delivery instructions and project requirements.
• Coordinate with Logistics and project teams for loading, transportation, delivery schedules, and site access requirements.
• Ensure materials are properly packed, secured, and protected during handling and transportation.
• Update warehouse transactions in the company’s ERP or inventory system promptly and accurately.
• Maintain project-wise inventory reports showing received, issued, available, returned, and pending materials.
• Support Procurement and Finance by providing goods receipt confirmations and supporting documents required for invoice verification.
• Maintain proper records for internal audits, project audits, and stock verification.
