Job summary

AECOM is seeking a senior Document Controller to lead document control for major rail/infrastructure projects in the Riyadh region, overseeing receipt, filing, and revisions across engineering, design, construction, and handover.

You will administer EDMS platforms, supervise document controllers, and drive compliance with ISO 9001 standards while coordinating with project teams and client representatives to meet submission deadlines.

Qualifications

  • Bachelor’s degree in a related discipline and 10–15 years in document control.
  • At least 10 years in a managerial role on rail, metro, transportation or infrastructure projects.
  • Experience managing engineering, design, construction documentation and handover.

Responsibilities

  • Develop and implement document control procedures, workflows, and standards for the project.
  • Manage receipt, registration, numbering, distribution, tracking, and filing of project documents.
  • Establish and maintain electronic and physical filing systems and revision controls.
  • Administer EDMS platforms (Aconex, SharePoint, Autodesk Construction Cloud) and ensure security.
  • Prepare weekly/monthly document control reports and monitor KPIs.
  • Coordinate reviews and approvals with stakeholders and support audits.
  • Lead Document Controllers and drive continuous improvement in processes.
  • Coordinate handover documentation and project closeout activities.

Job Description
Document Management & Control
  • Develop and implement document control procedures, workflows, and standards for the rail project.
  • Manage the receipt, registration, numbering, distribution, tracking, and filing of all project documents.
  • Ensure all project documentation is maintained in accordance with project requirements and document control procedures.
  • Establish and maintain electronic and physical filing systems.
  • Control document revisions, approvals, superseded documents, and archival processes.
Engineering & Technical Documentation
  • Manage engineering, design, construction, testing, commissioning, and handover documentation.
  • Coordinate the review and approval workflow for drawings, specifications, technical submittals, and reports.
  • Track document status and ensure timely responses from stakeholders.
  • Maintain master document registers and transmittal logs.
EDMS Administration
  • Administer Electronic Document Management Systems (EDMS) such as Aconex, SharePoint, Autodesk Construction Cloud, or similar platforms.
  • Ensure documents are uploaded, categorized, and maintained accurately.
  • Monitor user access permissions and document security.
  • Provide training and support to project teams on document management systems.
Reporting & Compliance
  • Prepare weekly and monthly document control reports.
  • Monitor document turnaround times and key performance indicators (KPIs).
  • Ensure compliance with client, contractual, ISO 9001, and company document management standards.
  • Support internal and external audits related to document control processes.
Stakeholder Coordination
  • Coordinate with project managers, engineers, contractors, consultants, and client representatives regarding documentation requirements.
  • Facilitate document reviews and approvals across project disciplines.
  • Support project teams in meeting documentation submission deadlines.
Handover & Closeout
  • Manage the preparation and compilation of project handover documentation.
  • Ensure as-built drawings, operation and maintenance manuals, testing records, and quality records are complete and properly organized.
  • Coordinate final document turnover to the client.
  • Maintain project archives and records retention processes.
Leadership & Team Management
  • Lead and supervise Document Controllers and Records Management personnel.
  • Allocate workloads and monitor team performance.
  • Develop document control training programs and best practices.
  • Drive continuous improvement initiatives within document management processes.
Qualifications
  • Minimum Education
  • Bachelor’s Degree in Business Administration, Information Management, Engineering, Construction Management, or related discipline.
  • 10–15 years of document control experience.
  • At least 10 years in a managerial role on major rail, metro, transportation, or infrastructure projects.
