Role Context
The Contracts Lead will sit within the Commercial and Contracts function and provide day-to-day contractual leadership across airfield and airport infrastructure works. The position will connect project delivery teams with commercial management by ensuring that delays, disruptions, technical issues, instructions, and construction events are captured accurately and addressed through the correct contractual mechanisms. The role will support multiple packages involving airfield works, utilities, fencing, access roads, and infrastructure operating within airport constraints. Strong written contract administration will be central to protecting commercial positions, maintaining compliance, preserving entitlement, and reducing the likelihood of avoidable disputes.
Key Responsibilities
- Lead contract administration activities across assigned airport and airfield infrastructure packages.
- Draft contractual letters, formal notices, responses, instructions, and claims-related correspondence.
- Convert site events, delays, disruptions, and technical matters into clear contractual communications.
- Ensure contractual correspondence is accurate, consistent, timely, and aligned with applicable contract provisions.
- Review incoming contractual notices and determine required response actions.
- Maintain correspondence logs and monitor deadlines for formal responses.
- Track contractual obligations, milestones, deliverables, notices, and commercial requirements.
- Support contract execution from active construction through completion and closeout.
- Maintain visibility of contractor and consultant compliance with contractual responsibilities.
- Coordinate with Project Managers and Engineers to establish factual records supporting contractual positions.
- Review site information before preparing formal contractual responses.
- Address issues arising from airfield works, fencing, utilities, access roads, and airport operational constraints.
- Identify contractual implications of construction delays, access restrictions, interface issues, and disrupted work.
- Prepare notices or responses where site conditions may affect cost, time, or responsibility.
- Support variation and change management across multiple project packages.
- Review change events and verify that supporting documentation is complete.
- Assist with assessment of entitlement associated with variations and instructed changes.
- Maintain accurate records of change events, contractual positions, and outstanding actions.
- Support claims management involving delay, disruption, additional cost, and other contractual matters.
- Review contractor claims and supporting substantiation for compliance with contract requirements.
- Coordinate claims input with Planning, Project Controls, Engineering, and Commercial teams.
- Support preparation of formal claim assessments and contractual recommendations.
- Participate in negotiations concerning claims, changes, disputed matters, and commercial settlements.
- Prepare structured written positions to support negotiation discussions.
- Help prevent disputes through early identification and clear documentation of contractual issues.
- Support dispute resolution activities where matters cannot be resolved through normal administration.
- Liaise with contractors, consultants, clients, and internal project teams on contractual matters.
- Attend coordination and commercial meetings involving active contract issues.
- Ensure significant meeting outcomes are captured in formal correspondence where required.
- Maintain alignment between verbal discussions, agreed actions, and contractual documentation.
- Review applicable FIDIC, NEC, or other contract provisions relevant to project issues.
- Ensure notices and responses comply with prescribed contractual procedures and timelines.
- Support interpretation of contract clauses where responsibilities or entitlement are unclear.
- Identify risks arising from incomplete notices, inconsistent instructions, missing records, or delayed responses.
- Advise project teams on contractual risk exposure and appropriate mitigation measures.
- Maintain audit-ready contract files, correspondence records, registers, and supporting documentation.
- Ensure contract records comply with project governance and document control requirements.
- Support internal and external contract audits when information or evidence is required.
- Maintain consistency in contractual language and interpretation across the project team.
- Review draft letters prepared by junior contracts personnel.
- Guide junior staff on structure, clarity, tone, and contractual reasoning.
- Promote accurate use of contractual terminology across project communications.
- Support management of multiple high-value contracts and concurrent commercial priorities.
- Escalate significant contractual exposures to senior commercial management.
- Maintain close coordination with the Commercial and Contracts Department on emerging issues.
- Support contract amendments, closeout documentation, and final contractual records where required.
- Contribute to lessons learned and continuous improvement in contract administration practices.
Ideal Profile
The position requires a bachelor 's degree in Law, Business Administration, Engineering, or another related discipline. Candidates should have at least 10 years of professional experience in contract management or contract administration, preferably within infrastructure, civil engineering, aviation, or airport projects. The successful candidate should have strong experience drafting contractual correspondence and translating construction events into formal notices, responses, and commercial positions. Proven capability in contract negotiation, administration, compliance, and risk management is essential. Candidates should understand how construction activities, delays, disruptions, access restrictions, and technical issues affect contractual rights and obligations. Experience managing large-scale or high-value project contracts involving multiple stakeholders will be important. Knowledge of FIDIC or NEC contract forms is highly desirable. Airport or civil aviation project experience will strengthen suitability, particularly where works are undertaken around operational constraints. Experience with claims management, dispute avoidance, and dispute resolution is valuable. Candidates should be commercially aware and capable of balancing contractual protection with practical project delivery requirements. Professional certifications such as CPCM, CCM, or equivalent credentials are preferred. Strong writing, negotiation, stakeholder management, analytical thinking, and record-keeping skills are essential.
