Job summary

Delivery Mates is seeking a proactive Recruitment & Compliance Assistant based in Portugal to support high-volume hiring and workforce compliance. The role is remote (Portugal) with occasional Lisbon office attendance for open days and training coordination.

You will manage candidate communications, onboarding, and document checks, ensuring compliance before start. You’ll work with the UK team, handling outbound calls and KPI targets to keep the recruitment pipeline moving smoothly.

Qualifications

• Experience in high-volume recruitment and recruitment coordination.
• Fluent in English and Portuguese (spoken and written).
• Confident communicator across phone, email and WhatsApp; able to handle high message volume.
• Strong organisational skills and attention to detail; able to manage multiple candidates and deadlines.

Responsibilities

• High-volume outbound calls to screen, engage, and progress candidates.
• Book candidates into open days and manage confirmations and attendance follow-ups.
• Schedule classroom training and onboarding; manage reminders and re-bookings.
• Maintain accurate candidate records and statuses in the ATS/tracking system.
• Provide daily/weekly pipeline updates (calls, bookings, show rates, starts, blockers).
• Send and reply to candidate emails, messages, and WhatsApp promptly and professionally.
• Answer candidate questions about next steps, training dates, documents required, and start processes.
• Manage shared inboxes and message groups using templates and consistent communication.
• Re-engage no-shows and reduce drop-off through structured follow-ups.
• Collect, validate, and store required documents (ID, proof of address, licences, insurance).
• Ensure onboarding checklists are completed in a paperless environment.
• Chase missing documentation and unblock candidates quickly.
• Monitor Right to Work and Right to Drive checks; maintain audit-ready trackers.
• Escalate non-compliance risks with recommended actions.
• Liaise with Operations Managers to confirm vacancies and start targets.
• Provide regular updates on vacancy status, pipeline health, and risks.
• Coordinate start dates and deployment plans with Ops.
• Attend Lisbon office occasionally for open days, training, or meetings.
