TejoMed in Lisbon seeks a warm, high-energy front desk coordinator to run the schedule, answer the phone, confirm bookings, and ensure intake forms are completed before visits.
You will greet members by name, set a concierge tone, and coordinate logistics for external appointments while supporting leadership and the team.
This role blends organization with light clinical tasks and triage under supervision, requiring Portuguese and English at least C1.
You run the moving parts of a high-touch concierge clinic so members feel personally cared for from the first phone call to the last follow-up. The work is 80% coordination, hospitality, and team support. 20% hands-on clinical (triage, blood draws, vitals, InBody). This is not a clinical-first nursing role.
TejoMed is redefining primary care in Portugal through a concierge membership model with a deliberately small patient panel, unhurried visits, and top access. We just opened our new clinic at Praça da Alegria, brought on another physician to meet growing demand, and rolled out the TejoMed data platform that pulls each member's wearables, lab results, and fitness data into a single view. The clinic is moving fast, and this role is central to keeping that momentum going on the ground.
Run the schedule and the phone (most of your day). Schedule, confirm, reschedule. Answer the reception line with warmth, speed, and judgment. Book external appointments for members (specialists, imaging, partner labs). Make sure intake forms are done before every visit. Send proactive reminders for labs, vaccines, and annual exams.
Greet members by name. Anticipate needs. Set the tone the moment someone walks in. Be the calm, warm, high-energy presence that makes a concierge clinic actually feel concierge.
Take on research tasks (vendor comparisons, sourcing options, finding the right specialist). Manage personal scheduling for leadership when needed. Coordinate logistics for team events and partner visits. Be the trusted right hand for the things that don't fit anywhere else but need to be handled well.
Perform InBody assessments, take vitals, conduct blood draws and specimen collection during the morning lab window. Access patient records to prepare for visits and coordinate care.
Route inbound concerns to the right person (physician, clinical nurse, operations) using sound judgment. Capture clear notes on our digital platform. Flag what's not working so we can improve it.
