Job summary

Universal Investment in Kraków is seeking an experienced funds operations professional to steer and monitor fund lifecycle events, ensure timely quality delivery, and support non-standard client requests. You will collaborate across departments with asset managers, depositories and regulators, train teammates, and contribute to process improvements and automation initiatives.

This role requires German and English fluency, strong organizational and communication skills, and a client-oriented

Responsibilities

• Steer and monitor fund lifecycle events and maintenance tasks to ensure timely and high-quality delivery.
• Coordinate with Asset Managers, Depositories and regulators to ensure compliance and smooth operations.
• Respond promptly to internal and external client inquiries and requests to maintain high satisfaction.
• Support clients in handling non-standard requests and improve processes.
• Define improvements and support automation initiatives; train others and update process documentation.
• Participate in transitions/process change projects and lead them when required.
• Assign tasks within the team and back up Team Lead for KPI reporting and escalations.

Your tasks and responsibilities:

• Steer and monitor fund lifecycle events (e.g. fund closures, new investor addition, contribution in kind) and maintenance tasks (e.g. investment guideline amendments, amendments fee annexes) to ensure in-time and in-quality delivery
• Strong collaboration and coordination of team’s tasks with other departments across company as well as with external parties such as Asset Managers, Depositories and Financial Regulatory Authorities (BaFin)
• Ensure high communication standards and high level of customer satisfaction through fast and competent response to internal and external client inquiries and requests
• Support internal and external clients in handling non-standard requests
• Establish and maintain efficient and well documented processes as well as challenge and improve existing tasks
• Define and provide ideas for improvements; execute proposed improvements as well as support automatization processes and initiatives;
• Train others, create training plans and update process documentation;
• Participate and lead (if required) transitions/process change projects
• Assign tasks within the team (workload allocation)
• Back up Team Lead in delegated tasks (e.g. KPI reporting, first line for escalations)
