Job summary

Universal Investment in Kraków seeks an experienced operations professional to manage investment vehicle lifecycle events. You will coordinate onboarding/offboarding, liaise with management companies, banks, and clients, and drive timely, accurate event execution across internal teams.

The role requires a master’s degree in economics or finance and at least 5 years’ fund industry experience. English fluency is essential; French, Swedish, and German are a plus.

Qualifications

• Master degree in economics or finance (or equivalent).
• At least 5 years’ experience in fund industry; accounting, transfer agency functions are an asset.
• Knowledge of Private Asset fund industry is an asset.
• Good knowledge of Luxembourgish investment vehicle types and their operating mode; knowledge of Swedish and Irish markets is a plus.
• Fluency in English; French, Swedish and German are an asset.

Responsibilities

• Coordinate onboarding and offboarding with internal teams and external stakeholders.
• Participate in client calls and workshops to assess operational needs and provide guidance.
• Share updates in internal meetings and collect required information from stakeholders.
• Identify specifics of investment vehicle events and gather information to manage them.

• Coordinate information gathering with external parties and liaise with other departments to ensure timely event integration.

This role focuses on the operational management of investment vehicle lifecycle events, ensuring seamless execution across internal teams and external stakeholders. It involves analysing fund documentation, assessing operational impacts, and driving the timely implementation of client requirements. Acting as a trusted partner to clients and business stakeholders, the role supports operational excellence and the accurate, efficient delivery of services in a dynamic and evolving environment.

Your tasks and responsibilities:

• Coordinate on boarding and off boarding within all the internal operational teams and external stakeholders with the support of the Client Service Delivery Manager.
• Participate in external client calls, meetings and workshops to assess the operational business needs and to provide guidance to the client.
• Take part in internal meetings and calls to share key updates, to bring appropriate guidance and to collect required information from internal stakeholders.
• Identify specificities associated to the investment vehicle events and assess the information required to properly manage them.
• Analyse and review the investment vehicle documentation (Prospectus, Articles of Incorporation, Board resolution, …) received from clients and external parties.
• Take the appropriate actions to collect all the relevant information to get setups ready in due time.
• Liaise with external stakeholders (Management companies, depositary banks, clients) to gather information linked to the events.
• Communicate with other internal departments to make sure events are accurately and timely integrated in the operational teams.

Your skills and experience:

• Master degree in economics or finance (or equivalent),
• Proven track record in the fund industry and/or experience in accounting, transfer agency, management company functions are an asset (at least 5 years’ experience),
• Knowledge of the Private Asset fund industry is an asset.
• Good knowledge of Luxembourgish investment vehicle types and their operating mode is a strong asset. Knowledge of the Swedish and Irish market is a plus.
• Fluency in English. French, Swedish and German are an asset,
• Well organised, strong analytic and innovative thinking, solution and client oriented, autonomous, solid communication skills
