Job summary

Ashland Ingredients Poland sp. z o.o. in Warsaw is seeking a Customer Service Representative to manage sales orders end-to-end in SAP and be the primary contact for customers on orders, deliveries and documentation.

You will coordinate with Planning, Warehousing, Logistics and External Forwarders to ensure on-time shipments and maintain accurate master data. The role is hybrid and reports to the Customer Service Supervisor.

Qualifications

• English language proficiency written and spoken.
• Experience in Customer Service or related areas.
• Excellent communication skills and attention to detail.
• Ability to work in a fast-paced environment with complex scenarios.

Responsibilities

• Manage sales orders end-to-end (order entry, confirmation, changes, delivery coordination, and billing) in SAP.
• Serve as the primary point of contact for assigned customers regarding orders, deliveries, and documentation.
• Coordinate with Planning, Warehousing, Logistics, and External Forwarders to ensure on-time shipments.
• Ensure accuracy of shipping, commercial, and regulatory documentation (Invoice, DN, CMR, CoA, export docs).
• Proactively manage order exceptions, delays, short shipments, and damages, escalating when needed.
• Support credit/debit note processing with Finance and Sales.
• Maintain master data and order data in SAP and related systems.
• Handle customer communications professionally with timely responses.
• Contribute to process improvements, standardization, and knowledge sharing.
• Ensure compliance with EHS, SOX, and internal control requirements.
