Job summary

Seargin Ltd is seeking an experienced lead for Resource Allocation & Workforce Planning to optimize consultant deployment across projects and ensure alignment with client needs and timelines. You will own utilization and availability KPIs, drive improvements, and guide a team focused on efficiency and change management.

The role collaborates with Recruitment and Sales, promotes continuous improvement, and leverages data to inform strategic staffing decisions in a dynamic IT services environment.

Qualifications

• Proven experience in resource management, staffing, workforce planning, or consultant allocation within services, consulting, IT, or staff augmentation environments.
• Previous experience leading and developing teams responsible for resource coordination, planning, or operational management activities.
• Experience working with utilization, retention, resource availability, and other operational metrics, including measuring and improving performance outcomes.
• Strong understanding of workforce planning, project staffing, contractor allocation, and assignment management across dynamic business environments.
• Excellent organizational capabilities with the ability to manage multiple priorities, assignments, and changing business requirements simultaneously.
• Strong communication and relationship-building skills with experience collaborating across business functions and managing internal and external stakeholders.
• Experience working closely with recruitment and commercial teams to align resource supply with project and client demands.
• Proficiency with resource planning, reporting, and management tools such as Excel, ERP systems, PSA platforms, or similar solutions.
• Ability to analyze resource data, monitor trends, create reports, and provide actionable recommendations to support business decisions.
• Fluent Polish and English with the ability to communicate effectively across local and international teams and business environments.

Responsibilities

• Resource Allocation & Workforce Planning: Optimize the allocation of consultants and contractors across projects, ensuring resources are matched to business needs, client requirements, and project timelines.
• Own key performance indicators including utilization, contractor retention, and resource availability, driving initiatives to improve operational performance.
• Project Continuity Management: Manage roll-on and roll-off activities, oversee bench resources, and minimize downtime between assignments to ensure business continuity.
• Contractor Relationship Management: Maintain regular communication with consultants and contractors, address operational matters, and build long-term relationships supporting retention and engagement.
• Resource Process Optimization: Improve and standardize resource allocation processes, increasing efficiency and alignment across staffing and project delivery activities.
• Cross-Department Coordination: Collaborate closely with Recruitment and Sales teams to align consultant availability with client demand, project pipelines, and business priorities.
• Lead, support, and develop resource management team members while promoting effective planning, communication, and operational excellence.
• Capacity & Demand Planning: Monitor current and future resource needs, identify capacity gaps, and support proactive workforce planning decisions.
• Reporting & Data Management: Maintain accurate information on consultant availability, allocations, utilization levels, and operational KPIs to support informed decision‑making.
• Operational Excellence: Drive continuous improvement initiatives focused on increasing profitability, enhancing service quality, and strengthening resource management effectiveness.
