You will coordinate multi-provider calendars, confirm demographics and insurance details, send confirmations, reminders, and prep instructions, and collaborate with billing, clinical, and admin teams to keep workflows smooth.

Qualifications

• Excellent phone etiquette and clear communication.
• Experience with EHR/CRM and scheduling platforms.
• Ability to manage multiple calendars with accuracy.
• Familiarity with HIPAA and data confidentiality practices.

Responsibilities

• Answer inbound calls professionally and guide patients through scheduling or inquiries.
• Return missed calls and follow up on voicemails within defined timelines.
• Document all interactions clearly in the system.
• Schedule, reschedule, and cancel appointments based on provider availability.
• Manage multi-provider, multi-location calendars with accuracy.
• Coordinate waitlists, recalls, and urgent scheduling needs.
• Confirm patient demographics and basic insurance details.
• Send confirmations, reminders, and prep instructions.
• Identify and elevate issues (insurance, symptoms, scheduling conflicts).
• Maintain accurate notes and communication logs in the EHR.
• Follow HIPAA-compliant documentation practices.
• Coordinate handoffs with billing, clinical, and admin teams.
