Job Title: Facilities Team Lead
Job Type: Full-time
About the Role
Murkez Technologies is seeking an experienced and proactive Facilities Team Lead to oversee the Facilities & Maintenance support functions for QSR network across the United States. This role leads and coordinates the Inventory, Dispatch, Facilities, and Vendor Coordinators, ensuring consistent execution of the Facilities & Maintenance SOP, accurate cross-functional reporting, and seamless communication between Murkez's delivery team and U.S.-based Operations and Facilities leadership.
Key Responsibilities
Team Leadership & Coordination
- Lead and supervise the Inventory, Dispatch, Facilities, and Vendor Coordinators, ensuring each function is executed per the defined SOP.
- Assign, guide, and review the daily work of all four coordinators; step in to close gaps in coverage or workload.
- Conduct regular check-ins to track individual and team performance against SOP objectives.
- Serve as the first point of escalation for the team before issues are raised to Facilities leadership.
Work Order & Dispatch Oversight
- Oversee the full work order lifecycle (New -> Reviewed -> Assigned -> In Progress -> On Hold -> Completed -> Closed) managed by the Dispatch Coordinator.
- Review prioritization of Emergency, High, Routine, and Preventive requests to ensure correct handling.
- Monitor open and overdue work orders and ensure timely closure with complete documentation.
Inventory & Cost Control Oversight
- Oversee parts ordering, replenishment, and inventory control managed by the Inventory Coordinator.
- Review reorder levels, stock-outs, emergency purchases, and excess/slow-moving inventory.
- Track cost-saving initiatives and ensure opportunities and achieved savings are reported.
Vendor Management Oversight
- Oversee vendor selection, onboarding, documentation (W-9, COI, licenses/certifications), and system setup.
- Monitor vendor performance - response time, quality, pricing, reliability, and compliance - and address escalations.
- Ensure the master vendor tracker is kept current and document expirations are proactively managed.
Timekeeping, Reporting & Communication
- Oversee timesheet accuracy and timely submission across the Facilities & Maintenance team.
- Consolidate daily and weekly reporting from all four functions into a single, leadership-ready report.
- Maintain clear, professional communication with U.S.-based Operations and Facilities leadership.
- Escalate safety, food-safety, major equipment failure, or business-interruption issues immediately.
Financial Control & Approvals
- Ensure all purchases, repairs, and vendor quotes follow the approved threshold structure (Facility Staff: $500 | RDOs: $1,500 | Director of Facilities: $3,000 | VPs/President: above $3,000 with Director alignment).
- Review and validate quotes and spend before escalating for higher-level approval where required.
Process Optimization
- Identify inefficiencies across the four SOP functions and recommend process improvements.
- Support the rollout of new tools and systems to strengthen inventory, dispatch, vendor, and reporting workflows.
- Standardize documentation and hand-off practices across coordinators.
Requirements
- Bachelor's degree in Business Administration, Operations Management, or a related field.
- 4+ years of experience in facilities, maintenance operations, or a related field, including at least 1-2 years in a team lead or supervisory capacity.
- Strong command of English (both written and verbal), with experience communicating with U.S.-based stakeholders.
- Proficiency in Microsoft Excel and Google Sheets; experience with work-order/CMMS or vendor management systems is a plus.
- Strong leadership, organization, and multi-tasking skills; able to manage multiple coordinators and workstreams simultaneously.
- Experience with inventory management, vendor coordination, or dispatch/work-order systems is preferred.
