DUTIES AND RESPONSIBILITIES:
Warehouse Operations Management
- Plan, organize, and oversee daily warehouse operations to ensure efficient movement of products from receiving through releasing.
- Ensure warehouse activities are completed according to established schedules, procedures, and operational requirements.
- Ensure sufficient manpower allocation based on daily warehouse workload and priorities.
- Coordinate warehouse activities with Logistics, Sales, Finance, and other concerned departments.
- Monitor operational bottlenecks and implement appropriate corrective actions.
- Ensure proper turnover and endorsement of pending warehouse activities between shifts or responsible personnel.
Inventory Control & Stock Accuracy
- Ensure accuracy of physical inventory against system and warehouse records.
- Monitor stock movements and ensure all receipts, transfers, issuances, returns, and adjustments are properly documented and recorded.
- Conduct and oversee cycle counts, periodic physical counts, and inventory reconciliation.
- Investigate inventory variances, shortages, overages, and other discrepancies and determine root causes.
- Implement corrective and preventive measures to minimize inventory discrepancies.
- Ensure proper stock rotation based on applicable FEFO requirements.
- Monitor aging, near-expiry, expired, damaged, and non-moving stocks and ensure timely reporting and appropriate disposition.
Receiving, Storage & Put-Away
- Ensure all incoming products are properly counted, inspected, documented, and verified against supporting documents.
- Ensure discrepancies, damages, shortages, overages, or other receiving concerns are immediately reported and documented.
- Ensure received stocks are properly and promptly put away in their designated storage locations.
- Maintain proper product segregation, stacking, labeling, and storage.
- Ensure warehouse capacity and storage locations are efficiently utilized.
- Prevent improper storage practices that may result in product damage, contamination, loss, or inventory inaccuracies.
Picking, Staging & Releasing
- Ensure accurate and timely picking of products based on approved documents and delivery requirements.
- Ensure picked products are properly checked before staging and release.
- Monitor picking errors, wrong items, wrong quantities, shortages, and other warehouse-related discrepancies.
- Ensure proper staging and segregation of orders according to route, truck, customer, or delivery schedule.
- Coordinate with Logistics to ensure orders are ready according to dispatch schedules.
- Ensure no products are released without complete and authorized supporting documents.
- Implement controls to prevent wrong picking, unauthorized release, and loading discrepancies.
Product Handling & Damage Control
- Ensure proper handling, stacking, movement, and storage of products.
- Monitor warehouse-related product damages and identify their causes.
- Implement measures to minimize preventable damages caused by improper handling or storage.
- Ensure damaged, expired, returned, and non-conforming products are properly segregated and identified.
- Ensure proper documentation and endorsement of product-related incidents and discrepancies.
- Promote accountability among warehouse personnel for proper product handling.
Warehouse Space & Equipment Management
- Ensure efficient utilization of warehouse floor space, racks, staging areas, and other storage facilities.
- Maintain proper warehouse layout and clear identification of storage locations.
- Ensure aisles, emergency exits, loading areas, and access points remain unobstructed.
- Monitor the condition and proper use of warehouse equipment, tools, racks, pallets, and material-handling equipment.
- Ensure defective equipment and unsafe warehouse conditions are immediately reported and corrected.
- Coordinate required repair and preventive maintenance of warehouse equipment.
People Management
- Manage the performance, attendance, productivity, discipline, and compliance of warehouse personnel.
- Ensure proper manpower deployment according to operational requirements.
- Set clear daily targets and responsibilities for warehouse personnel.
- Conduct regular coaching and performance monitoring based on established KPIs.
- Identify employee training and development requirements.
- Coordinate with HR regarding attendance, performance, disciplinary concerns, manpower requirements, and employee development.
- Promote teamwork, accountability, discipline, and productivity within the Warehouse Department.
Safety, Security & 5S Compliance
- Ensure compliance with company safety policies, warehouse safety standards, and applicable government requirements.
- Enforce proper use of Personal Protective Equipment (PPE), where required.
- Ensure safe stacking, racking, lifting, material handling, and movement of products.
- Conduct regular warehouse inspections and immediately address unsafe acts and unsafe conditions.
- Ensure compliance with established 5S standards — Sort, Set in Order, Shine, Standardize, and Sustain.
- Coordinate with the Safety Team regarding incidents, hazards, corrective actions, and safety programs.
- Ensure appropriate controls are maintained to prevent theft, unauthorized access, product loss, and unauthorized stock movement.
Reporting & Continuous Improvement
- Maintain accurate warehouse records and monitoring systems.
- Prepare periodic reports covering inventory accuracy, warehouse productivity, picking accuracy, damages, inventory variances, stock concerns, and other operational KPIs.
- Conduct root-cause analysis for recurring warehouse discrepancies and operational issues.
- Develop and monitor corrective and preventive action plans.
- Identify opportunities to improve warehouse layout, workflow, manpower utilization, stock handling, productivity, and inventory control.
- Recommend process improvements that increase warehouse efficiency, accuracy, safety, and cost effectiveness.
WORK SCHEDULE:
- Mondays to Saturdays (Sunday only if necessary)
- 8:00 am – 5:00 pm
Willing to extend working hours when required
