Qualifications

• Proven experience as a receptionist, front desk or appointment setter.
• Excellent spoken and written English with a clear, friendly phone manner.
• Experience handling calls and messages for US-based customers.
• Hands-on experience with appointment booking or scheduling software.
• Able to juggle calls, texts, and messages simultaneously and keep every detail straight.
• Warm, patient, and professional demeanor.

Responsibilities

• Pick up incoming calls with professionalism and quickly follow up on missed calls and voicemails
• Schedule, move, and cancel appointments in the salon booking system, making sure each service goes to the right stylist and time slot
• Reply to client questions sent by text, email, website chat, and social media message
• Send appointment confirmations and reminders, and chase up no-shows and late cancellations
• Keep the waitlist in order and fill last-minute openings so the schedule stays full
• Give clear, accurate answers about services, pricing, stylists, and salon policies
• Send deposit requests and payment links according to salon policies
• Maintain accurate, up-to-date client profiles, contact details, and booking notes
• Promote rebooking and recommend extra services or retail products when it fits
• Hand complaints and special requests to the salon team along with clear, complete notes
