Job summary

Jobtailor is seeking a Virtual Medical Assistant to handle high-volume inbound patient calls, respond to messages, and schedule appointments in MacPractice.

You will maintain patient records, de-escalate concerns, support scheduling workflows, and ensure HIPAA compliance while working from a Mac OS device with reliable internet. Experience in healthcare support and U.S. clinics preferred; Saturday availability may be required.

Qualifications

• Experience as Virtual Medical Assistant, Medical Receptionist, Patient Communication Specialist, Front Desk Coordinator, or similar healthcare support role.
• Able to handle high call volume in a fast-paced clinic environment.
• Must own and work from a Mac OS device (MacBook, iMac, or Mac mini) with reliable internet.
• Willing to work Saturdays if needed.
• Familiarity with chiropractic terminology and patient scheduling workflows is a plus.

Responsibilities

• Answer high-volume inbound patient calls professionally and promptly.
• Respond to patient texts, voicemails, emails, and fax-related messages in a timely and accurate manner.
• Schedule new patient appointments and collect intake information.
• Manage appointments in MacPractice, including confirmations, cancellations, and rescheduling.
• Maintain accurate patient records and communication documentation.
• De-escalate scheduling, billing, and insurance questions while providing empathy.
• Support missed-call follow-up workflows and improve communication processes.
• Protect patient privacy and follow HIPAA standards at all times.
