Qualifications

• Excellent spoken English with clear neutral accent.
• Strong written communication for SMS, email, and patient messages.
• Experience as Virtual Medical Assistant, Medical Receptionist, or similar healthcare support role.
• Comfortable handling high call volume in fast-paced clinics.
• Familiarity with MacPractice and common healthcare platforms preferred.

Responsibilities

• Answer high-volume inbound patient calls professionally and promptly.
• Respond to patient texts, voicemails, emails, and faxes in a timely manner.
• Schedule new patient appointments and collect intake information.
• Schedule, confirm, cancel, and reschedule appointments in MacPractice.
• Prioritize new inquiries and referrals before routine rescheduling.
• Follow-up and reactivate inactive or lapsed patients.
• Help convert inquiries into booked appointments.
• Maintain patient records and scheduling notes accurately.
• Coordinate with in-office staff to keep provider schedule full.
• De-escalate scheduling, billing, and insurance questions with care.
• Listen, gather details, offer callbacks, avoid overwhelming patients.
• Support missed-call follow-up workflows and improve communications with Weave.
